About the Role:
This is much more than an administration position.
We're looking for an organised, detail-oriented and proactive Asset Compliance Administrator to become the custodian of Galati Group's fleet and asset compliance systems.
Based at our Canning Vale Distribution Centre, you'll work alongside our Transport and Operations teams, playing a key role in maintaining the integrity of our vehicle and asset records, ensuring servicing and maintenance documentation is accurately captured, monitoring compliance requirements, and coordinating the annual Main Roads WA Heavy Vehicle Accreditation Audit.
This role will suit someone who enjoys creating order from complexity, improving systems and identifying opportunities to streamline processes rather than simply maintaining the status quo. You'll work closely with our Transport, Safety and Operations teams and have the opportunity to expand and continually improve our current fleet compliance framework as the business grows.

Key Responsibilities:
Reporting to the Risk & Compliance Manager, your responsibilities will include:
Maintaining the Group Vehicle and Asset Register, ensuring all heavy vehicles, light vehicles, trailers, forklifts and mobile plant records remain accurate and current.
Recording and maintaining servicing, repairs, inspections, maintenance histories and compliance documentation for company assets.
Monitoring registrations, licences, servicing schedules, inspections and compliance deadlines to ensure all requirements are completed on time.
Coordinating and maintaining the WA Main Roads Heavy Vehicle Accreditation Scheme, ensuring ongoing compliance with accreditation standards.
Preparing and coordinating documentation for the annual Main Roads Heavy Vehicle Accreditation Audit.
Maintaining driver compliance records, including licences, medical assessments, training records and other accreditation documentation.
Managing asset information within the Galati Asset Management System (GAMS).
Liaising with Transport, Workshop personnel, Managers, external service providers, insurers and regulatory authorities.
Assisting with fleet insurance claims and maintaining accurate supporting documentation.
Identifying opportunities to improve compliance systems, administrative processes and record management.
Supporting continuous improvement initiatives across fleet and asset compliance.
About You:
You'll be someone who enjoys structure, accuracy and continuous improvement, while taking pride in maintaining high-quality records and ensuring compliance obligations are always met.
You'll ideally have:
Previous experience in fleet administration, transport compliance, asset management or a similar compliance-focused administrative role.
Experience with WA Main Roads Heavy Vehicle Accreditation (highly desirable).
Knowledge of heavy vehicle operations, maintenance records or fleet management systems.
Strong Microsoft Excel and Microsoft Office skills.
Excellent organisational skills with the ability to manage competing priorities.
Exceptional attention to detail.
Confidence communicating with internal stakeholders, external suppliers and regulatory authorities.
The ability to work independently while continually looking for opportunities to improve systems and processes.
