About Yoorana Gunya
Yoorana Gunya is an Aboriginal Community Controlled Health Organisation (ACCHO) based in Forbes, NSW.
YG provides holistic, culturally appropriate, comprehensive primary health care services, mental health support, social support services and allied health to Aboriginal and non-Indigenous people.
YG provides a range of programs to enhance Aboriginal and Torres Strait Islander people's overall wellbeing including health related programs, programs to strength community connection, mental health awareness and more.
About the role
The Corporate Services Administration role is responsible for providing a high-level of administrative support to the Executive Management team with a robust focus on corporate governance, Board administration, compliance, records management, Human Resources support and organisational administration.
Working closely with the Operations Manager and executive team, you will help ensure the smooth operation of governance processes and contribute to maintaining high standards of accountability, confidentiality, and organisational effectiveness.
Human Resource Management
· Provide administrative support to the Operations Manager and executive team where needed.
· Assist with the end-to-end recruitment activities including HR related forms, candidate screening, pre-recruitment compliance, organising interviews, responding to applicants
· Assist during the onboarding and offboarding of employees, volunteers and contractors
· Maintain HR tracking software
· Assist with actioning all day-to-day administration of the HR operations, including compliance follow-up, correspondence emails, filing, scanning, etc
Finance Management
· Assist with accounts payables and receivables by processing invoices and tracking payments
· Assist with employee timesheet recording for payroll processing
· Assist with monthly reconciliations
· Assisting with ensuring all lodgement deadlines are met including GST, FBT, Long Service Leave etc
· Assist with actioning all day-to-day finance operations including correspondence emails, filing, scanning, etc
Corporate Services including Risk and Compliance
· Coordinate staff and team meetings, including preparing agendas, distributing meeting papers, taking minutes, and tracking action items.
· Maintain governance records, policies, registers, and corporate documentation.
· Support compliance with legislative, regulatory, and accreditation requirements.
· Assist with developing, maintaining and organising of all WHS, clinical and governance policies and procedures
· Coordinate travel, meeting logistics, and corporate events as required.
· Maintain and ensure all monthly WHS checklists are completed
· Maintain all asset registers
· Assist with maintenance of motor vehicle fleet including servicing, registration, insurance, cleaning, etc
· Provide other general support and various administrative duties in order to achieve organisational goals
· Provide administrative support for projects, reporting, and organisational initiatives.
· Maintain electronic and hard-copy filing systems in accordance with records management requirements.
Key Accountabilities
· Strong understanding of employment legislation, industrial relations and HR best practice.
Responsible to remain up to date with latest information.
· Strong understanding of taxation and GST legislation
· Ability and experience to support a diverse, multidisciplinary team and ensure HR support is culturally appropriate and competent.
· Provide assistance with the following HR responsibilities: recruitment, learning and development, workplace health and safety, workers compensation, HR systems etc.
· Support and complete day-to-day processing of HR administration duties for recruitment, onboarding, maintaining HR database, leave processing, reporting.
· A solutions-focused mindset with confidence and people skills to manage change and ability to strive for effective workforce development.
· Liaising strongly with the Operations Manager for all financial enquiries, HR related enquiries and payroll.
· Liaising regularly with Executive Management regarding policies, procedures and registers.
Qualifications & Experience
· Qualifications or working towards qualifications in Human Resources or Business Administration/Finance however not essential.
· Experience in providing administration support in the roles of HR, finance or organisational compliance
· Experience with MYOB, Office 365 Share point, Excel, Microsoft Teams
Essential Requirements
· Ability to maintain confidentiality and to exercise tact, initiative and sound judgement.
· Knowledge and understanding of Aboriginal values and high level of cultural competence.
· Demonstrated experience and ability to work effectively as part of a multidisciplinary team.
· Demonstrated ability to work flexibly within tight time schedules and in accordance with variable workload demands.
· High-quality communication skills that result in effective communication.
· High attention to detail and ability to prepare high-quality documentation and implement relevant processes.
· Demonstrated interpersonal skills to facilitate discussions, interaction, cooperation, integrity and trust within the organisation.
· Ability to hold a National Police Check and Working with Children Check Clearance.
· Current valid Driver's Licence.
Desirable
· Experience working within an Aboriginal Community Controlled Health Service or not-for-profit organisation.
· Knowledge of corporate governance principles and compliance requirements.
