About the Role
The Medical Receptionist is responsible for delivering exceptional customer service to patients, visitors and clinicians while ensuring the efficient administration of reception and appointment services. This role is responsible for managing appointments, patient enquiries, medical records, billing processes, and general administrative duties to support the delivery of high-quality care.
The Medical Receptionist works collaboratively with all members of the practice team to ensure a positive patient experience and smooth practice operations.
Key Outcome Areas
Patient Experience and Customer Service
Provide a welcoming, professional and responsive first point of contact for patients, visitors and clinicians. Deliver exceptional customer service through face-to-face and telephone interactions, ensuring patients feel respected, informed, and supported while maintaining confidentiality and contributing to a positive patient experience.
Practice Administration Management
Coordinate the daily administration of patient appointments and clinical documentation to support efficient practice operations. Maintain accurate patient records, manage incoming correspondence and ensure administrative processes are completed accurately, efficiently and in accordance with organisational procedures.
Financial Administration
Manage patient billing and financial administration processes, including Medicare,
private and third-party billing, patient accounts, daily reconciliations and banking documentation. Ensure all financial transactions are processed in accordance with legislative requirements and BGP procedures.
Practice Operations
Support the effective operation of the practice by maintaining reception and consulting environments, monitoring supplies and contributing to the smooth delivery off services. Work collaboratively with colleagues and provide support across practice locations as required to ensure continuity of patient care and operational efficiency.
Patient Safety and Emergency Response
Contribute to a safe environment for patients, visitors and staff by recognising and responding appropriately to medical emergencies, managing challenging situations professionally and maintaining patient privacy and confidentiality. Demonstrate sound judgement while supporting safe clinical and administrative practices at all times.
Skills, Knowledge and Qualifications
Essential
Previous experience in a customer service or reception environment
Strong interpersonal and communication skills with the ability to engage effectively with patients, colleagues and external stakeholders in a professional and respectful manner
Ability to manage competing priorities in a busy environment with strong organisational and time management skills
High level of accuracy and attention to detail
Demonstrated computer literacy
Ability to maintain confidentiality and professionalism
Desirable
Previous experience in a general practice or healthcare setting
Knowledge of Practice Management Software
Understanding of Medicare billing and private billing processes
Knowledge of medical terminology
