The Prospect
Two positions available: one 6-month and one 12-month fixed-term contract (maternity leave cover).
PW4 $$70,975 - $77,063 per annum pro rata + 12% super + leave loading.
Moorabbin Campus - onsite parking with close proximity to public transport.
The Faculty of Health Science, Community and Social Studies (HSCSS) at Holmesglen provides a progressive, innovative, and supportive teaching environment with strong professional links and partnerships within the health, science, and community services sector. The faculty offers courses from Certificate III through to degree programs in nursing, dental, health, aged care, disability, allied health, science, and a range of community services and justice courses.
These roles sit within the Practical Placement Operation Teams, supporting placement administration across VET and Higher Education Nursing Programs, Allied Health Services and Science, and Community and Social Studies. The successful candidates will play a key role in ensuring students are placement-ready and that placement records, agreements, and compliance documentation are accurately maintained across the faculty.
The Practical Placement Administrative Officer is a key first point of contact within the practical and clinical placement team, providing coordinated administrative support to placement staff, department staff, students, and placement providers. The position supports the administration and monitoring of placement records, documentation, agreement requirements, and risk assessments, as well as student readiness information, provider communications, invoicing, and placement systems management.
As a Practical Placement Administrative Officer, you will:
Act as a key first point of contact for placement enquiries from students, staff, and placement providers, including drop-in sessions, providing relevant information or referring matters appropriately.
Establish, maintain, and update placement records, databases,
and relevant placement systems including Placeright, InPlace SONIA, and the InPlace Network.
Monitor and track Practical Placement Agreement (PPA) requirements, following up on outstanding documentation and escalating gaps, delays, or compliance risks to senior staff.
Coordinate and maintain placement documentation for students and placement providers, ensuring records are accurate, current, and actioned within timeframes.
Liaise with placement facilities, teaching teams, placement staff, and internal support areas to support timely communication and accurate information flow.
Coordinate and administer NDIS and Fit2Work documentation requirements, ensuring documentation is requested, recorded, and followed up.
Monitor venue risk assessment records to ensure they are current prior to student attendance, and identify, follow up, or elevate any discrepancies.
Maintain confidential hard copy and electronic records relating to students, placement providers, and placement activities, supporting audit requirements and Holmesglen Quality Management Processes.
Process placement-related invoices and support improvements to administrative workflows, templates, trackers, and reporting tools.
Provide administrative support to assist the team in building and maintaining relationships and partnerships with healthcare providers.
To be successful, you'll have:
Minimum
Administrative and Organisational Expertise:
Proven ability to manage multiple tasks, prioritise workloads, and maintain accuracy in a busy, multi-disciplinary environment, including experience in office and/or clinical placement administration.
Technical Proficiency:
High-level competence in Microsoft Office, databases, and student management systems, with the ability to set up and maintain administrative systems and processes.
Communication Skills:
Strong written and verbal communication skills, with the ability to adapt style and tone to suit a range of internal and external stakeholders.
Attention to Detail and Compliance Awareness:
Demonstrated ability to maintain accurate records, identify compliance risks, and elevate issues appropriately in a regulated environment.
WWCC and Police Check:
Appointment to this position is dependent on obtaining a Victorian 'employee' Working with Children Check, and a valid Police Check within the last 12 months.
Preferred
Relevant tertiary qualifications or a suitable combination of lesser qualifications and relevant experience.
Experience with placement management systems such as Placeright, InPlace SONIA, or equivalent.
Previous experience in a health, community services, or education environment.
