Lease Manager – PDNSW Portfolio Sydney | Full‐time
About the Role
As the Lease Manager, you will maintain the integrity of the property management database, oversee lease compliance for both PDNSW and tenants, and ensure all financial workflows are accurate, timely and aligned with client expectations. You'll work closely with Transaction Management, auditors, landlords, tenants and internal stakeholders to ensure the portfolio operates smoothly and efficiently.
Key Responsibilities
Lease Administration Ensure WIP, Debtors and portfolio reports are accurate, current and include relevant commentary
Attend building committee and client agency meetings where required
Administer Green Lease requirements and reporting
Maintain complete and accurate lease data, ensuring database integrity and minimising urgent payment requests
Complete new site checklists and ensure Converga and ons/offs requirements are met
Review and approve lease abstracts, CPI increases, fixed increases and obligation summaries
Align all lease abstraction and amendments with Transaction Management
Ensure AASB16 data points are captured and exception reports are actioned
Conduct quality reviews of compliance certificates and insurance documentation
Review and approve expenditure rent rolls, variance reports and all payment workflows
Validate costs and invoices prior to approval
Resolve payment exceptions and communicate outcomes to landlords/agents
Provide market analysis and benchmarking to identify savings across non‐rent expenditure lines
Review revenue rent rolls and variance reporting
Manage revenue recharges, ensuring head lease costs are recovered
Prepare outgoings recharge sheets for new tenants
Follow up arrears, manage breach/lock‐out processes, and support year‐end reconciliations
Review,



balance and reconcile annual expenditure budgets and outgoings
Ensure timely receipt of budget estimates and reconciliations
Save and circulate reconciliation reports
Review audit findings and provide benchmarking insights
Interpret lease obligations for PDNSW and tenants
Ensure lease abstracts are paraphrased correctly and obligations are met
About You
You bring strong lease administration and property management experience, with the ability to manage complex financial workflows and high‐volume data. You offer: Experience in lease administration, property management or portfolio operations Strong understanding of lease obligations, compliance and financial processes High attention to detail and confidence managing large datasets Excellent communication and stakeholder management skills Ability to work independently and collaboratively across multiple teams Strong client focus and ability to deliver outcomes aligned with expectations.
