Join Western District Health Service as a Receptionist / Administrator – Specialist Surgical Services, where you'll play a key role in supporting patients, visiting specialists, and clinical staff through the delivery of high-quality administrative and reception services.

What You'll Be Doing
As part of our dedicated Specialist Surgical Services team, you'll provide professional administrative and reception support across:
Customer Service & Communication
Provide a welcoming, professional, and responsive first point of contact for patients, families, carers, surgeons, and staff while maintaining confidentiality and delivering exceptional customer service.
Surgical Administration
Support surgical pre-admission and theatre processes through appointment coordination, patient administration, admissions and discharge processes, records management, and general clerical support.
Reception & Appointment Coordination
Manage patient enquiries, coordinate specialist appointment bookings, liaise with consultant rooms and referral services, and ensure the smooth day-to-day operation of the reception area.
Records & Information Management
Maintain accurate patient records and documentation, supporting compliance with organisational requirements and working closely with the Health Information team.
Administration & Technical Support
Utilise hospital information systems and Microsoft Office applications to manage data, correspondence, reporting, and administrative processes efficiently and accurately.
Supplies & Operational Support
Assist with ordering medical, cleaning, stationery, and linen supplies while contributing to a safe, organised, and well-maintained clinical environment.
Teamwork & Continuous Improvement
Work collaboratively with clinical and administrative teams, contribute to process improvements, support colleagues,



and assist with orientation and on-the-job training as required.
What You Bring
Demonstrated experience in a reception, administration, or customer service role, preferably within a healthcare environment.
Excellent communication and interpersonal skills, with the ability to build positive relationships with patients, families, and staff.
Strong organisational skills and the ability to manage competing priorities in a busy setting.
High level of computer literacy, including Microsoft Office applications and patient management systems.
Knowledge of medical terminology or willingness to learn.
Ability to work both independently and collaboratively within a team.
Strong attention to detail and commitment to maintaining accurate records and documentation.
Sound problem-solving skills and the ability to use initiative.
Understanding of confidentiality, privacy, and professional conduct requirements.
Commitment to providing outstanding customer service and contributing to a positive patient experience.
