Office Coordinator and Team Assistant
to join the Sydney office of a highly reputable
global investment management firm.

As the face of the Sydney office, you'll play an integral role in delivering an exceptional experience for both clients and employees. Working closely with the Executive Assistant team, you'll oversee premium front-of-house operations while providing high-level administrative support, coordinating meetings and events, managing catering requirements and, ensuring every interaction reflects the firm's professional and client-focused culture.

In this role you will:
Be the first point of contact for all clients and visitors, delivering an exceptional front-of-house experience.
Manage meeting rooms end-to-end, including scheduling, room preparation, booking conflicts and ensuring spaces consistently meet premium presentation standards.
Coordinate catering requirements and manage relationships with external suppliers.
Organise internal meetings, client functions and office events from planning through to execution.
Answer and manage the phone line, directing enquiries professionally.
Provide executive support including diary management,
expense processing and meeting coordination for senior leaders.
Coordinate quarterly investment meetings and provide administrative support across the Investment Division.
Prepare presentations, reports and business documentation with exceptional attention to detail.
Work collaboratively with the Executive Assistant team to streamline administrative processes and support wider business initiatives.
Assist with additional projects and business support as required.
To be successful, you will have:
Previous experience in a Team Assistant, Administrative Assistant, Office Coordinator, Corporate Reception or similar corporate support role.
Experience working within financial services, professional services or another corporate environment will be highly regarded.
Outstanding communication and interpersonal skills with the confidence to engage professionally with senior executives and clients.
Strong organisational skills with the ability to manage multiple priorities and competing deadlines.
Exceptional attention to detail with pride in delivering consistently high-quality work.
A proactive, solutions-focused approach and willingness to take ownership.
