The Role:
In this pivotal support position, you will work closely with project managers and subject matter experts to enhance the timely and effective delivery of high-profile programs. You will leverage a variety of information management systems to ensure strict compliance with organizational policies, procedures, and legislation.
Key Responsibilities Include:
Governance & Secretariat Support:
Prepare high-level agendas, papers, and briefing materials for steering committees and boards. Take accurate minutes, track action items, and manage escalation pathways.
Project Controls & Registers:
Monitor and update risk, issue, dependency, and program change control registers.
Data Integrity & Reporting:
Standardise, validate, and analyse project data to ensure completeness and accuracy for executive reporting.
Executive Correspondence:
Develop accurate briefing notes, ministerial responses, and executive letters.
Continuous Improvement:
Ensure alignment between local districts and the broader region to support audit readiness and program oversight consistency.
Who We Are Looking For:
To be successful in this role, you will bring a strong blend of data accuracy, communication prowess, and technical project support experience.
Your Skills & Experience:
Project/Program Expertise:
Proven experience in project controls, reporting, or governance support within a complex delivery setting.
Technical Savvy:
Advanced proficiency in the
Microsoft Office Suite
, specifically with high-level
Excel
(data analysis) and
PowerPoint
(executive reporting). Experience with SharePoint or similar project management tracking tools is essential.
Analytical Mindset:
Exceptional attention to detail with the ability to synthesise complex data into meaningful, boardroom-ready insights.
Communication & Collaboration:
Outstanding interpersonal and written communication skills to successfully interface with internal and external stakeholders at all levels.
Time Management:
A proven track record of managing competing priorities, leveraging team skills, and meeting tight deadlines.
