About the Role
Ahrens is seeking an experienced
Administrator
to join our
Port Hedland Mining Services Division
. This role provides essential administrative support to enable the most productive use of resources across project works in the Pilbara region of WA, playing an integral part in the safe, professional, and effective delivery of mining site trade services.
You'll also act as a key representative of the Ahrens Group to our customers, helping build our reputation and brand as a respected contracting organisation, while developing strong, lasting customer relationships.
Key Responsibilities
Manage general administrative operations — phones, emails, filing, and scanning
Complete timesheet entry, including wage spreadsheets for employees and subcontractors, man hours, and claim spreadsheets
Help maintain policies and procedures in line with industry regulations
Support mobilisation and demobilisation activities, including new staff/subcontractor onboarding, site access submissions,
and coordination of flights and accommodation
Manage stock control and monthly reconciliations
Maintain and update registers
Manage the site materials listing, including supplier cost comparisons
Update MSDS documentation
Handle materials procurement, purchase orders, and work orders
Provide other general administrative support as required
Liaise with clients and/or their representatives, organising meetings and coordinating information flow
Attend and participate in internal project progress meetings
Build and maintain relationships with current and new suppliers and subcontractors
What You'll Bring
Experience working as an Administrative Assistant or equivalent
Excellent attention to detail, with strong written and verbal communication skills
Demonstrated planning, organisation and time management skills
Current driver's licence
Prior experience in Pronto, ERMS and Workflow highly desirable
Prior CCMS experience (highly desirable but not essential)
