We are currently seeking an experienced Receptionist / Administration Support Officer to join a youth-focused mental health service based in Greensborough on a temporary contract. This role is ideal for someone who enjoys being the first point of contact, thrives in a fast-paced environment, and is passionate about delivering welcoming, high-quality support services.
About the role
As the Administration Support Officer, you will provide high-level reception and administrative support to a multidisciplinary team, ensuring young people aged *****, along with their families and carers, experience a service that is accessible, professional, confidential, and youth-friendly.
You will be the first point of contact for clients and visitors and play a key role in supporting day-to-day operations to enable frontline care services.
Key Responsibilities:
Front-desk reception including answering phones, booking and confirming appointments, and managing enquiries
Welcoming young people, families, carers, and visitors with professionalism and empathy
Administrative support including data entry, file management, correspondence, and reporting
Medicare billing, batching, and electronic claims
Supporting office systems, supplies, IT coordination, and general centre operations
Assisting with meetings, minutes, rosters, and calendars
Maintaining accurate records and ensuring compliance with privacy and statutory requirements
Working collaboratively with internal staff and external practitioners
About you:
Previous experience in reception and administration, ideally within healthcare, community services, not-for-profit, disability, or social services
Strong customer service skills with the ability to engage sensitively with diverse client groups
Excellent organisational skills and attention to detail
Confident working in a busy, client-facing environment
Robust communication and interpersonal skills
Competent in Microsoft Office (Excel essential); experience with data systems is desirable
Ability to work both autonomously and as part of a team
A lived experience of mental ill-health and recovery, or caring for someone with lived experience, is highly regarded
Requirements:
Certificate IV in Business Administration (or equivalent experience)
Right to work in Australia
Working With Children Check
NDIS Worker Screening Check
Ability to work within centre operating hours
