Job Description
The Trustee for Success Venture WA Unit Trust The Events Executive is responsible for the conversion, contracting, and coordination of short-term events business, with a primary focus on bookings occurring within the next three months.
This role is designed to maximise immediate revenue opportunities by responding rapidly to enquiries, converting business efficiently, and ensuring seamless event delivery.
While the primary focus is short-term business, the role may also retain responsibility for the coordination of selected long-term events, at the discretion of the Catering Manager.
Benefits Discounted staff parking Laundry Allowance Complimentary meal whilst on shift 50% discounted food and beverages across all Oceania properties Discounted accommodation across worldwide Pan Pacific Hotels Group properties Task & responsibilities Reporting to the Hotel Manager & Catering Manager, in this role you will: Manage and convert inbound event enquiries within the short-term booking window (0-3 months), ensuring timely responses and proactive follow-up Prepare event proposals, contracts, and confirmation documentation based on client and hotel requirements Coordinate confirmed events end-to-end, including client meetings, site inspections, and post-event follow-ups Prepare and distribute accurate Banquet Event Orders (BEOs), floor plans, and related event documentation Liaise with internal departments to ensure seamless event planning, readiness, and execution Maintain accurate records in Delphi and attend weekly sales and BEO meetings to support effective communication and operations Qualification & experience Secondary school qualification (or equivalent) with 1-2 years' experience in event coordination, sales,
or a similar client-facing role Experience working with Delphi and Microsoft Office applications, with the ability to maintain accurate records and documentation Strong communication and customer service skills, with the ability to build and maintain positive client relationships Commercially driven with a demonstrated ability to manage leads, identify opportunities, and achieve conversion outcomes Highly organised and detail-oriented, with the ability to manage competing priorities and deliver results within tight deadlines A cooperative team player with a positive attitude and the ability to thrive in a fast-paced hospitality environment
