Key Responsibilities:
Proactively supporting and coordinating the consulting team's client relationship needs.
Client and job management using primarily electronic tools.
Preparation of various reports and formatting of data to ensure clarity and ease of data analysis.
Invoicing of client work on a weekly basis and liaising with relevant stakeholders.
Preparation of confidential documentation.
Preparation and sending of deposit invoices to clients
Preparation and sending of final invoices/statements to clients
Sending client receipts
Completing client onboarding and supplier forms
Electronic filing.
Proactive calendar and email support for the team.
Client Tender management.
Assistance with internal event management.
Coordination and scheduling of client training and meetings.
Travel coordination.
Office coordination - various ad hoc administrative tasks as needed i.e. office ordering and facilities management.
As part of the wider administration team ensure the upkeep of data and processes and contribution to continuous improvement activities in company administration processes.
Requirements:
Have a strong ability to work as part of a supportive and highly collaborative corporate team.
Be able to thrive in an agile environment that challenges you to use your proactive nature, priority management and effective communication skills.
Ability to work with databases including data entry, maintenance and reports
Have a professional services background & knowledge in a diverse and engaging administration role.
Be able to demonstrate your ability to meet deadlines and prioritise conflicting tasks.
Be proficient in the MS Office Suite, and familiar with document management systems and processes and quality assurance.
Experience with Xero, Workflow Max & iManage is desired but not essential.
