We are seeking a proactive and highly organised Office Coordinator & Executive Business Support professional to join our Corporate Head Office team in Chatswood. Working closely with the Executive Business Partner and wider corporate team, you will play a key role in creating a professional, welcoming and efficient workplace while providing executive, administrative and business support across a variety of corporate functions.
No two days will be the same. From managing day-to-day office operations and coordinating meetings, events and travel, to maintaining office facilities and providing executive administration support, you will be instrumental in ensuring the smooth and efficient running of our Corporate Head Office. This role is ideal for someone who enjoys variety, takes initiative and is passionate about delivering exceptional support and service in a dynamic workplace.
Key Responsibilities Office & Facilities Coordination
- Act as the first point of contact for visitors, ensuring a professional and welcoming front of house experience.
- Maintain shared office spaces, including meeting rooms, kitchen facilities and breakout areas, ensuring a safe, organised and professional workplace.
- Coordinate incoming mail, courier deliveries and office supply procurement.
- Liaise with building management, contractors and external service providers as required.
- Manage office maintenance requests and support workplace improvement initiatives.
- Assist with the onboarding of new employees, including workspace setup and induction coordination.
- Organise catering and prepare meeting materials for workshops, training sessions and internal meetings.
- Support the planning and delivery of employee engagement activities, corporate events and office functions.
Executive & Business Support
- Provide high quality administrative and coordination support to the Executive Business Partner and broader leadership team as required.
- Coordinate calendars, meetings, appointments and internal business activities.
- Manage domestic and international travel arrangements, including detailed itineraries, accommodation bookings and travel logistics.
- Prepare and format correspondence, reports, presentations and business documentation.
- Assist with corporate card reconciliations, expense management and invoice processing.
- Support business projects, governance activities and ad hoc administrative requirements.
- Handle confidential and sensitive information with discretion, professionalism and sound judgement.
- Maintain accurate records, filing systems and administrative processes that support effective business operations.
What We're Looking For
- Minimum 3 years' experience in office coordination, administration, reception, executive support or a similar role.
- Exceptional organisational and time management skills with the ability to manage multiple priorities simultaneously.
- Strong communication and stakeholder management skills with a customer focused approach.
- Advanced proficiency across Microsoft Office applications, including Outlook, Word, Power Point and Excel.
- A proactive, solutions focused mindset with strong attention to detail.
- Ability to work independently while contributing positively to a collaborative team environment.
- Experience supporting executives, coordinating travel arrangements and managing office operations will be highly regarded.
- Professional, approachable and service oriented manner with a genuine passion for supporting others.
