We are looking for someone who has had experience working in an administration in an allied health or medical practice.

About Therapy Co

Therapy Co is a growing psychology and allied health practice based in Benowa on the Gold Coast.

We provide psychological therapy, support coordination, and support work for children, adolescents and adults. We are passionate about neurodiversity-affirming practice and creating an environment where both our clients and our team feel safe, supported and valued.

About the Role

This is a wide-ranging role where no two days are the same.

You'll help keep the practice running smoothly while ensuring every client feels welcomed and cared for from their very first interaction.

Your responsibilities will include (but not limited to):

Client Care

- Greeting clients and creating a warm, welcoming environment

- Answering phones and responding to emails

- Managing enquiries from new and existing clients

- Booking appointments and managing clinician diaries

- Following up referrals and waitlists

- Assisting clients with Medicare, NDIS and private appointments

- Managing cancellations and filling appointment gaps

Administration

- Maintaining accurate client records within Halaxy

- Processing referrals and intake documentation

- Preparing clinician diaries

- Supporting clinicians with administrative tasks

- Managing incoming correspondence

- Ensuring client communication is accurately documented

- Maintaining reception, waiting room and clinic presentation

- General administrative support across the practice

Finance





- Processing payments

- Medicare claiming

- Third-party invoicing (WorkCover, NDIS and private health where applicable)

- Daily banking reconciliation

- Assisting with outstanding accounts

Practice Support

- Assisting with projects and improving systems

- Ordering supplies

- Supporting marketing and community events when required

- Helping create a positive workplace culture

The role will continue to evolve as Therapy Co grows, so we're looking for someone who enjoys variety and isn't afraid to jump in wherever needed. About You

- Has previous experience in allied health, psychology or medical administration

- Loves helping people

- Learns new systems quickly

Highly Desirable

Although not essential, experience in any of the following would be advantageous:

- Halaxy (or similar practice management software)

- Medicare claiming

- NDIS administration

- WorkCover administration

- Trello

- Google Workspace
