About the Business

ADX Depot is a proudly Australian-owned building materials business that has been supplying the construction industry since 1994. Today, the Group operates four locations across South Australia and Queensland, providing a comprehensive range of plasterboard, ceilings, partitions, insulation and associated building products to commercial contractors, builders, tradespeople and DIY customers. Following the acquisition of the iconic Bone Timber business in 2021, the Group has expanded its offering to become one of South Australia's leading suppliers of timber and construction materials. The Opportunity

Reporting directly to the Managing Director and Director – Marketing & Sales, the Executive Assistant plays a pivotal role in supporting the Group's executive leadership team and ensuring the smooth day-to-day operation of the business. This is far more than a traditional administrative position. Acting as the organisational hub for the executive team, you will coordinate priorities, drive accountability, improve business processes and ensure strategic initiatives continue to move forward. You'll become a trusted business partner to senior leaders, enabling them to focus on growing the organisation while you provide exceptional organisational support behind the scenes.

Key Responsibilities





Executive Support

- Manage the Managing Director's & Director – Sales & Marketing’s complex calendar, travel and meeting schedule.
- Coordinate executive meetings, preparing agendas, presentations and supporting documentation.
- Record accurate meeting minutes and monitor follow-up actions to ensure accountability.
- Prioritise incoming requests and assist in managing competing business priorities.

Strategic Coordination

- Work closely with the executive leadership team to monitor progress against strategic initiatives.
- Maintain action registers and ensure key projects remain on track.
- Assist in preparing reports, board papers, presentations and executive communications.
- Support the ongoing development and improvement of business systems and processes.

Administration & Business Support

- Coordinate management meetings and prepare presentation material.
- Update executive reporting, dashboards and KPI information.
- Assist with document preparation, correspondence and business communications.
- Support recruitment administration, onboarding activities and organisational documentation where required.
- Provide assistance across the wider business during peak periods.

Stakeholder Management

- Act as a key point of contact for internal and external stakeholders.
- Build strong working relationships across all business functions.
- Liaise professionally with customers, suppliers and industry partners on behalf of the executive team.





Continuous Improvement

- Identify opportunities to streamline administrative and operational processes.
- Recommend efficiencies that improve productivity across the executive team.
- Help foster a culture of accountability, collaboration and continuous improvement.

About You

You are an experienced Executive Assistant who thrives in a rapid-paced, entrepreneurial environment. Highly organised and proactive, you anticipate needs before they arise and enjoy bringing structure to busy executives. You possess exceptional judgement, maintain absolute confidentiality and enjoy working alongside senior leaders who rely on you as a trusted partner.

Skills & Experience

- Previous experience supporting a CEO, Managing Director or Executive Leadership Team
- Experience within construction, manufacturing, wholesale distribution, building products or industrial sectors will be highly regarded
- Exceptional organisational and time management skills
- Advanced Microsoft Office skills, particularly Outlook, PowerPoint, Word and Teams
- Strong written communication with excellent attention to detail
- Ability to manage multiple priorities and consistently meet deadlines
- High levels of professionalism, discretion and confidentiality
- A proactive mindset with a passion for continuous improvement
