DCC is looking for a Legal Administrative Assistant, Trade Marksto join its world leading trade mark group. The LegalAdministrative Assistant, Trade Marks plays an essential rolein the smooth and efficient running of the trade mark practicewithin DCC’s busy IP Law practice. Working together with oneor more Trade Mark Attorneys, the Assistant will be responsible fordealing with trade mark files (including for leading brands) fromsearching, strategy, filing, prosecution, opposition andcontentious matters) via our e-filing system. The role requiresdrafting and lodging of a variety of Trade Mark documents,invoicing and actively assisting the attorney with their day to daypractice. The position also requires some client interaction andcommunication with IP Australia,



IPONZ and our overseas offices inHong Kong, Singapore and Malaysia. The role requires anexperienced IP or legal assistant who has the ability to handlevolume, in a dynamic and exciting setting.

Key Responsibilities

- Manage and maintain electronic trade markfiles and records, ensuring accuracy, completeness, andcompliance with firm procedures.
- Provide exceptional client service by responding promptlyand professionally to client, associate, and general enquiriesvia phone and email.
- Prepare, format, and lodge trade mark applications,filings, and related documentation with IP Australia andinternational intellectual property offices.
- Draft and coordinate correspondence with clients, overseasassociates, and regulatory authorities across multiplejurisdictions.
- Monitor and manage trade mark deadlines, reminders, andcritical dates to ensure timely action and riskmitigation.
- Support Attorneys with diary management, meetingcoordination, and administrative scheduling as required.
- Prepare, process, and coordinate billing activities,including drafting invoices and monitoring completion ofbillable work.
- Conduct online research and investigations using IPdatabases, official intellectual property registers, and otherrelevant information sources.
- Provide collaborative support across the Trade Marks teamand broader business, including cross-team coverage duringperiods of leave or peak workload.

About You – Skills, Experience & Attributes

- Previous experience as a Trade Mark Assistant, IntellectualProperty Assistant, Legal Assistant, or in a similaradministrative support role within a professional servicesenvironment.




- Demonstrated ability to produce high-quality work withattention to detail.
- Proficiency in preparing, formatting, and managing legal,trade mark, or intellectual property documentation within adeadline-driven environment.
- Experience working with intellectual property and documentmanagement systems (such as Inprotech and iManage) will behighly regarded.
- Strong proficiency in Microsoft 365 applications, includingWord, Outlook, Excel, PowerPoint, and Teams.
- Experience preparing, reviewing, and processing invoicesand billing activities
- Well-developed organisational and time managementskills.
- Excellent written and verbal communication skills, with theability to build rapport and communicate professionally withclients, colleagues, and stakeholders.
- Experience preparing documentation and briefing materialsfor trade mark opposition matters, hearings, or related legalproceedings would be advantageous.
- Proven ability to build and maintain positive workingrelationships across teams and with clients.
- A collaborative, adaptable and proactive approach, with awillingness to contribute to team success and supportcolleagues when required.
