We are seeking an exceptional Executive Assistant / Office Manager to support the Managing Director and small team of a fast-paced, growing Financial Services firm based in Melbourne CBD.
This is a senior, trusted role combining high-level executive support with full responsibility for the smooth day-to-day operation of the Melbourne office, as well as personal work for the Chairman. It will suit a proactive, highly organised professional who thrives on autonomy, accountability, and discretion.
The Role
This dual-function position plays a critical role in enabling executive leadership while ensuring the office operates efficiently and professionally. You will work closely with the Managing Director, CFO and Chairman balancing flexibility with a strong focus on priorities and deadlines
Key Responsibilities
- Provide comprehensive, high-level support to three Senior Executives
- Manage complex diaries, meetings, agendas, briefings, and board materials
- Draft and manage correspondence, presentations, and confidential documentation
- Coordinate domestic and international travel and logistics
- Liaise with investors, advisers, and senior internal and external stakeholders
- Track projects and deliverables to ensure deadlines are consistently met
- Support investor communications and sensitive corporate materials
- Provide assistance with personal matters, exercising absolute discretion
Office Management
- Oversee daily office operations to maintain a skilled,
well-run workplace
- Manage suppliers, facilities, IT, and service providers
- Coordinate onboarding and HR administration with management
- Manage office budgets, invoicing, and procurement
- Ensure compliance with health, safety, and workplace standards
- Organise internal meetings, events, and communications
- Maintain accurate records, filing systems, and administrative processes
About You
- Highly organised with the ability to manage multiple priorities in a fast-paced environment
- Exceptional written and verbal communication skills with strong attention to detail
- Professional, discreet, and trusted, with sound judgment and integrity
- Confident engaging with senior stakeholders and external partners
- Comfortable balancing flexible working arrangements with clear business accountability
- Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams)
Qualifications & Experience
- Minimum 5 years’ experience in an Executive Assistant role
- Experience in financial services, lending, or investment environments preferred
- Tertiary qualifications in business administration or a related field desirable
