Administrator & Compliance Coordinator

Join a well-established small business supporting some of Victoria's largest construction, rail and infrastructure projects. An exciting opportunity exists for an experienced Administrator & Compliance Coordinator to join a well-established small business servicing major Tier 1 construction, civil and infrastructure projects across Victoria.
This is a highly varied role that combines compliance coordination, project administration and operational support. We are specifically seeking candidates with previous compliance experience within the construction, civil, infrastructure, utilities or related sectors who understand contractor onboarding, site inductions and the importance of maintaining accurate compliance records across multiple projects.

About the Role
Based full-time in the office in Tottenham, you'll report directly to the Office Manager and become a key member of a collaborative team. This is an office-based position offering flexible working hours, with start times available from 7:00am onwards.
Compliance & Site Coordination
- Manage employee, contractor, vehicle and asset inductions across client and project portals
- Upload and maintain compliance documentation for major project sites
- Coordinate site access requirements for staff, contractors, vehicles and equipment
- Schedule staff inductions and risk assessments
- Maintain staff qualifications, licences, training records and compliance registers
- Monitor compliance registers and ensure documentation remains current
- Manage vehicle and asset servicing registers and communicate upcoming servicing requirements
- Prepare vehicles and assets for site induction requirements
- Support plant, vehicle and equipment compliance activities
Administration & Operations Support
- Act as a first point of contact for customer and contractor enquiries
- Coordinate on-hire, off-hire, relocation and servicing requests
- Manage purchase orders and quote requests
- Liaise with operations and warehouse teams to ensure assets are prepared for delivery and return
- Maintain accurate records within internal CRM and administration systems
- Provide general administrative support across multiple business divisions
- Assist with a variety of ad hoc projects and support tasks as required
Reporting & Documentation
- Maintain company compliance and operational registers
- Assist with waste and water servicing data entry
- Complete monthly sustainability and social procurement reporting
- Submit documentation and log sheets to relevant authorities
- Maintain testing and tagging records, risk assessments and servicing schedules
- Track on-hire and off-hire assets and maintain accurate asset registers
About You
To be successful in this role, you will have:
- Previous experience in Administration, Compliance Coordination, Project Administration or Construction Administration
- Demonstrated compliance experience within the construction, civil, infrastructure, utilities or related industries
- Experience managing contractor onboarding, inductions, compliance documentation and site access requirements
- Exposure to Tier 1 construction, civil, infrastructure, utilities or rail projects
- Strong understanding of contractor management processes and compliance requirements
- Excellent organisational skills and attention to detail
- Proven ability to manage multiple priorities and deadlines
- Strong communication and stakeholder management skills
- Intermediate Microsoft Office skills, particularly Excel
Experience using compliance and induction platforms such as Damstra, IdeaGen, 3DS / 3D Safety, Chekrite, HammerTech, Rover or similar systems will be highly regarded.
