The team supports clients managing complex, interrelated issues, including market disruption, reputation protection, and perception crises, while helping them improve positioning, profile, and communication outcomes.
This is a key role at thecentreof the business and an essential support to the Managing Director andLeadership team. The person in the role is accountable for the MD's diary and inbox, helping manage her time and for supporting financial administration, people&culture;, compliance,financeand stakeholder communication.
You'rethe air-traffic controller for the MD, ensuring priorities are clear, deliverables areproduced,and deadlines orcompliance requirementsare managed effectively.
Key Responsibilities:
Executive Support & Calendar Management
- Manage the MD’s calendar and inbox, triaging and prioritising emails,tasksand meetings
- Proactively manage scheduling conflicts and competing priorities
- Source meeting materials and background notes
- Flag urgent client, team,reputationor revenue-critical items
- Draft and prepare correspondence on behalf of MD
- Ensure follow-ups, actions and commitments are tracked,doneand closed
- Assistwith timesheets and projectplanning in Xero
Governance & Compliance
- Managemeetinglogistics,agendasand documentation
- Prepare and distributemeetingpapers and executive packs
- Track actions and ensure follow-through
- Maintain secure records of key company documentation and resolutions
- Support regulatory filing requirements (in liaison with external advisers)
- Manageinsurances,androutine legal agreementsandouroperating cadence
- Be the link between the MD's inbox and our bookkeeper
- Approve routine payments
- Track and control office andthird-partycosts
- Track signed Letters of Engagement and billing triggers
- Maintain financial documentation in Microsoft 365 (SharePoint/Teams)
Recruitment & People
- Assistwithrecruitment processes andonboarding
- Coordinate performance review cycles, including:
- Managing review timelines and reminders
- Preparing feedback forms and distribution
- Collecting and collating feedback confidentially
- Preparing summary packs for leadership review
- Ensuring documentation is securely stored
- Maintain a well presented and effective office space
- Organize team events - social outings, offsites,etc.
Project & Operational
- Support internal initiatives and industry programs
- Keep detailed and up to date WIP and to-do lists to enable good teamwork
- You will work confidently across the Microsoft ecosystem, Xero, HubSpot andvariousmeans of shared documentation
