The Opportunity
This is an exciting opportunity for an experienced Event Manager who thrives on creating great experiences and driving revenue growth. You will play a key role in positioning The Cambium as a premium destination for executive retreats, leadership events, corporate offsites, private experiences, and curated event gatherings.
The Position
Hours of work:
Part time, two - three days per week on an ongoing basis. Hours will vary depending on event activity: Event planning & administration - 9am – 5pm Monday – Friday.
Event management work – Additional event management days/ hours as required with the planned business activity and will include weekend work and out of business hours.

Key responsibilities will include but not limited to:
The Event Manager is responsible for delivering exceptional wedding ceremony and group accommodation bookings, curated business events, public community events and corporate retreats from initial planning through to flawless execution. This role ensures every client experience has seamless service, meticulous attention to detail, and the warm, personalised hospitality expected of a luxury boutique venue.
Working closely with the Sales, Operations, Property and Front of house hospitality team, the Event Manager will coordinate every aspect of the guest journey, ensuring each retreat reflects the client's objectives while maintaining the venue's premium standards.
Event Planning & Coordination
Liaison with the client to curate and plan the ultimate event experience Coordinate all event logistics including accommodation, meeting spaces, dining experiences, staff and activities. Liaise with facilitators, speakers, suppliers and external partners. Coordinate AV, room layouts, signage and presentation requirements. Ensure all event details are communicated clearly across departments. Conduct final event checks prior to guest arrival. Event Evaluation.
Event Delivery
Lead onsite event operations and oversee the daily event schedule. Welcome clients and ensure a seamless arrival experience. Resolve operational issues promptly and professionally. Coordinate timing between kitchen, service, housekeeping and property teams. Ensure every touchpoint reflects the venue's luxury standards.
Team Collaboration
Work closely with Sales team to ensure a smooth handover from booking to delivery. Check property and housekeeping to ensure accommodation is guest-ready. Coordinate hospitality teams throughout event delivery. Participate in planning meetings and continuous improvement initiatives.
Administration
Prepare event-order, run sheets and operational documentation. Manage event budgets and monitor additional client requests. Maintain accurate records within the CRM and booking systems including invoicing and payment plans for events. Complete post-event reporting and client feedback summaries.
Continuous Improvement
Identify opportunities to elevate the guest experience. Review client feedback and implement improvements. Stay informed of trends within luxury hospitality and corporate events. Contribute ideas for current retreat experiences and curated offerings.
Responsible for the successful delivery of the event plan for the following four key event areas: Weddings, ceremonies, group accommodation and special events The Wedding and special event management involves planning, coordinating, and executing all aspects of the event experience, from initial consultations to the final farewell, ensuring a smooth and memorable experience for the group hosts and their guests. Curated business corporate events Will primarily include liaison with pre, during and post event: Corporate & Event Management Companies Private families Event suppliers Guests FOH staff The Cambium’s special community events, event management Events will include: Public-attended events to build brand awareness of The Cambium and generate revenue. Public events hosted by The Cambium in partnership with our stakeholders Cambium curated special event guest bookings ie. family office retreats, private family experiences Educational initiatives i.e. School Indigenous Cultural Immersion Day “On Country Learning” Community events Christmas parties Internal Cambium team training days & social events Event day management for corporate business retreats Supporting the Business Sales Team with client customer service and front of house staff management to ensure the successful delivery of each event. Including: Check in/ out guests Operational set up of venue & elevated activities Customer experience and relationship management Front of house service support Site inspections and venue tours Support the Marketing & Communications Coordinator with the promotion of the event marketing for the above event streams. We are looking for: At least 3 years previous experience in event management, hospitality, venue management. Experience managing multiple events simultaneously. Must have sound IT skills in Office, OneNote, Excel, Word, Outlook, social media.

You must have a keen eye for detail to ensure that nothing is overlooked, from the smallest décor element to the overall event flow. Someone keen to explore, grow and learn. You must be excited by planning and starting something new, we are a current business, and the event schedule is still being created. You must be open to considering how can we improve what is already offered to enhance the event experience. You must be a driven problem solver with a creative approach to creating and delivering the ultimate guest experience. Someone who was born for customer service and hospitality operations. You will love a to-do list! And be great at prioritising all the tasks. Strong problem-solving skills. You must have outstanding communication and interpersonal skills. Excellent organisational skills. Excellent presentation skills. You will need to be fit, healthy, proactive and happy to ‘get your hands dirty’. Understanding you are part of a very small business start-up team you must be team orientated. Current driver's licence. RSA Preferable.
