Probate Clerk / Receptionist for Wills and Estates Department provides administrative and client support services in relation to probate and estate administration matters while also performing reception duties and assisting with the preparation of estate planning documents. The role requires excellent organisational skills, attention to detail, professionalism, and the ability to communicate effectively with clients during sensitive and often emotional circumstances.
Key Responsibilities
Probate and Estate Administration
- Open and maintain probate and estate administration files.
- Prepare correspondence and legal documents for probate and estate matters.
- Assist with applications for Grants of Probate and Letters of Administration.
- Liaise with clients, beneficiaries, courts, financial institutions, and government agencies.
- Monitor critical dates and ensure matters progress efficiently.
- Assist solicitors with general estate administration tasks as required.
Estate Planning
- Draft Wills in accordance with solicitor instructions.
- Prepare Powers of Attorney and Enduring Guardianship documents.
- Arrange appointments for execution of estate planning documents.
- Ensure all documentation is complete and ready for solicitor review prior to execution.
Reception and Administration – Wills and Estates Department
- Greet clients in a professional and courteous manner.
- Answer and direct incoming telephone calls.
- Manage incoming and outgoing mail, emails, and deliveries.
- Schedule appointments and maintain solicitors' calendars.
- Receive and process client enquiries.
- Prepare files for recent matters and archive completed files.
- Assist with general office administration, filing, scanning, photocopying, and document management.
- Maintain reception and meeting areas to a professional standard.
Skills and Experience
- Previous experience in a legal administration or probate role is desirable.
- Knowledge of probate and estate administration procedures in New South Wales is preferred.
- Experience preparing Wills, Powers of Attorney, and Enduring Guardianship documents is preferred.
- Excellent written and verbal communication skills.
- Strong organisational and time management abilities.
- High level of attention to detail and accuracy.
- Ability to maintain confidentiality and exercise discretion.
- Competency in Microsoft Office and legal practice management software.
- Ability to work independently and as part of a team.
