Venue Operations Manager
OVERALL PURPOSE OF THE POSITION
As a member of the Student Services team, the Venue Operations Manager contributes to the daily life
of the School by supporting student wellbeing, engagement and participation in the broad range of
activities and experiences that form part of a Barker education. The role promotes a positive, safe and
well organised environment for students and works collaboratively with staff to support the effective
operation of the School.
The role is responsible for the effective coordination and day to day operation of Barker College's
venues, ensuring facilities are safe, well prepared and optimally utilised to support learning, cocurricular
programs, student activities, community events and approved external use. The role has regular
interaction with students and supports the successful delivery of assemblies, performances,
presentations, sporting activities, community events and other key aspects of School life.
Acting as a central point of coordination for venue operations, bookings and event readiness, the role
works closely with staff, students, contractors and external users to deliver high quality experiences
across the School. In doing so, the role collaborates with specialist venue managers, including those
responsible for the Rosewood Centre and Aquatic Centre, to ensure a consistent and seamless
approach to venue utilisation and service delivery.
Through strong planning, organisation and stakeholder engagement, the Venue Operations Manager
helps create environments in which students can participate, perform, compete, connect and flourish,
and ensures venue operations remain safe, effective and responsive outside normal working hours.
KEY RESPONSIBILITIES
Venue Operations
- Coordinate the daily operation and readiness of all School venues, including theatres, halls,
performance spaces (with the exception of the Rosewood Centre and the Aquatic Centre)
- Ensure venues are appropriately set up (furniture, aircon, ICT/AV), presented and maintained in
a secure and functional condition.
- Coordinate access, security and cleaning arrangements in collaboration with relevant
contractors.
- Maintain oversight of venue scheduling to ensure effective and conflict-free use of spaces.
Event & Booking Coordination
- Support life of the School through the Student Experience office in events logistics
- Liaise with staff and users to confirm event requirements, logistics and setup needs.
- Support the smooth delivery of events through proactive planning and communication.
- Ensure clear handover of event requirements where after-hours support is required.
People & Culture
External Hire & Community Use
- Administer approved external venue hire arrangements in accordance with School policies and
agreed frameworks.
- Prepare quotes and documentation using established pricing and approval processes.
- Coordinate logistics and readiness for external users.
- Escalate commercial, reputational or risk-related matters as required.
Systems & Process Management
- Maintain and optimise venue booking systems and associated processes.
- Improve system integration and usability to support efficient operations.
- Provide guidance and support to staff in the use of venue systems.
Risk, Compliance & Safety
- Ensure venue operations are conducted in accordance with WHS requirements and School
policies.
- Support safe venue use for both internal and external activities, including appropriate
supervision arrangements.
- Identify and escalate risks, incidents or compliance issues as required.
- Uphold the School’s child safety commitments in all venue related activities, particularly where
external users are involved.
Stakeholder Coordination
- Develop and maintain effective working relationships with internal stakeholders, including
teaching and operational staff.
- Work collaboratively with ICT, Facilities and other operational teams to ensure venues are fit for
purpose.
- Coordinate contractors and service providers to support venue operations.
After Hours Operation
- Work in coordination with Security and designated after hours staff to support evening and
weekend venue use.
- Ensure clear communication and handover of event requirements, safety considerations and
operational expectations.
- Support the student services team in student supervision where required. This may include
Student supervision on playground and transport hubs/road crossings
- Supporting the school’s Promoting Positive Relationships guidelines as well as standards in
relation to student wellbeing, dress and general bearing.
- Assisting Deans of School with student management
- The role will be expected to some staff after hours events including during the school holiday
period, through rostering in concert with Events coordination, Student Services and external
hirers.

SKILLS AND KNOWLEDGE ESSENTIAL TO THE JOB
- Experience In venue, event or facilities operations within a multi-use environment
- Background in education / hospitality desirable
- Strong understanding of student duty of care
- Highly developed interpersonal skills, including the capacity to communicate effectively with
students, parents, staff, visitors and other stakeholders
- Strong organisational and coordination skills, with the ability to manage multiple priorities
- Experience using booking or scheduling systems
- Sound understanding of WHS principles in an operational setting
- Proficiency in Microsoft Office and relevant operational systems
