An exciting opportunity has opened up for an Administration Coordinator to join our team at Equip-Safe on a part-time basis, ideally completing 22 hours per week.

Your duties and responsibilities:

- Manage schedule of training delivery to ensure trainer/assessor coverage for courses to meet budget requirements

- Manage customer service and client/student information flow

- Provide direction and training to the administration team

- Monitor individual and team performance ensuring productivity and the quality of output.

- Maintain admin staff roster to ensure effective and adequate staffing of the administration team to cover campus operational hours.

- Assist Manager Equip-Safe to develop, review and implement administrative processes/procedures.

- Monitor administrative compliance and efficiency with ETI/EQS policies and procedures.

- Assist Manager Equip-Safe with collating business unit costs for Manager’s monitoring.

- Prepare Manager Equip-Safe credit card reconciliation.

- Ensure CTF funding is claimed monthly.

- Manage timely lodgement of external reports as required by ASQA, DTWD, CTF and WorkSafe

- Work with Government Contracts Manager, ensuring Student Management System records are correct for monthly government funding (RAPT) claim

- Co-ordinate maintenance of the campus IT systems.

- Arrange and coordinate building maintenance as required

- Liaise with the Manager Equip-Safe and ETI Marketing team to ensure courses are advertised.

- Assist Manager Equip-Safe in review of marketing communications

- Provide support for the QA System Manager in the QA operation at the college.

- Provide training and updates for employees in the use of the QA system.





- Assist Manager Equip-Safe and liaise with the ETI Development team, to assist maintaining course materials.

- Co-ordinate and prepare validation materials required for validation of the Standards for RTO’s 2025

What you'll need to succeed:

Essential:

- Current C Class Drivers Licence

- Experience in supervising a team and building positive working relationships.

- Experience managing all aspects of customer service to achieve quality outcomes for all parties involved.

- Extensive experience in office management

- Excellent communication skills, reliable, time management skills, self-motivated

- Ability to multitask and meet deadlines.

- Ability to work autonomously.

- Well-developed organisational and time management skills.

Desirable:

- Cert IV Leadership and Management or equivalent work-related experience

- Experience working in a Registered Training Organisation

- High level of computer literacy including the Microsoft and Adobe suites of software including SharePoint.
