Women’s Healthcare Australasia (WHA) is seeking a self-motivated and highly personable team member to join our team in Canberra in a newly created Administration & Event Support Assistant position. This position will be supporting the administration as well as the delivery of in-person events for a 24 month National funded project.

WHA is a not-for-profit organisation that seeks to promote excellence in the provision of clinical care to women and newborns in Australasia. This position will be part of a team undertaking a National Preterm Birth Prevention Project (NPBP). www.wcha.asn.au

This is a fixed term (until 30 June 2028) full-time role. The responsibilities are varied and interesting and the satisfaction of being part of making a difference together with a friendly, dynamic, and hardworking team brings value and purpose to the role. Work will be undertaken on site at our offices in Mitchell, ACT.

Commencement date: Mon 7 September or ASAP

The position involves (but is not limited to):

- Supporting a 24-month national project as part of a dynamic team.

- Front-of-office functions where applicable

- Administration support to the national project team.

- Liaising with team members across partner organisations within the project as well as internal and external stakeholders.

- Supporting the team to connect with and provide services to project participants.

- Supporting diary management of a project team including setting up meetings and correspondence as needed,

- Supporting the delivery of effective Events (in person)



from planning through to wrap-up.

- Providing back-office support to virtual meetings as needed

- Summarising meetings (mainly virtual meetings) including action points & minutes

- Providing summaries of presentations made at meetings

- Providing project participant support & enquiries.

- Printing/ photocopying/ scanning/ mail distribution.

- Preparation and collation of all delegate packs and other resources needed for meetings and conferences.

- General office support for the team.

SELECTION CRITERIA- The successful applicant will have/be:

1. Demonstrated outstanding communication skills (both written & verbal).

2. Demonstrated ability to build rapport through telephone conversations with stakeholders.

3. Intermediate skills & experience with Microsoft Office Suite.

4. Understanding of the necessity of confidentiality.

5. Capacity to problem solve & prioritise.

6. Organisational & Time management skills

7. Demonstrated experience in delivering accuracy of information, speed of processing & attention to detail.

8. Ability to multi-task, to show initiative and to self-initiate.

9.



A team player who is flexible and is supportive of/values the existing positive team culture.

10. A positive, upbeat, can-do, momentum contributor who appreciates the opportunity to learn new skills.

11. Advantageous:

1. Demonstrated experience in event organisation/support

2. Demonstrated administrative experience in the healthcare sector

3. Demonstrated experience working in or as part of a team in a not-for-profit environment

This position requires travel once or twice a year to support related events. We offer a family-friendly, flexible working environment and the opportunity to learn current skills. The position will be at our Mitchell Offices (ACT) in person.
