Joondalup

We are looking for an experienced Finance Coordinator to join ND Perspective for approximately two days per week or equivalent hours. Flexible working hours available.

Ideally, you will have worked in a similar finance or accounts role within an allied health, disability or medical clinic and already understand NDIS billing and claims. However, we are also open to someone with strong bookkeeping, payroll and financial administration experience who is confident learning the NDIS systems.

This is an important role within our clinic. You will help ensure our team is paid correctly, invoices and claims are processed promptly, financial deadlines are met, and billing issues are identified and resolved.

ND Perspective is a neurodiversity-affirming, multidisciplinary clinic in Wangara, supporting autistic and neurodivergent children, teens, adults and families, primarily through NDIS-funded services.

The clinic is led by Alecia Hancock, who brings more than 15 years’ experience building purpose-led organisations, along with lived experience of chronic health disability, being a late-diagnosed ADHD adult and the parent of an autistic child.

That perspective shapes the clinic’s direction: practical, family-centred, strengths-based and designed to support the people doing the work.

We are not trying to be a high-volume therapy machine. We are building a thoughtful clinic where neurodivergent people are respected, families feel understood, clinicians are supported and the systems behind the scenes work well.

Our team includes people with lived experience of neurodivergence, parents of neurodivergent children and people who genuinely care about doing things differently.

What makes ND Perspective different

Lived-experience-led: Our clinic is shaped by professional expertise, family experience and lived experience of neurodivergence.

Purpose behind the numbers: Accurate payroll, billing and NDIS claims directly support our team, our clients and the sustainability of the services we provide.

A small, close-knit team: You will work directly with the clinic owner and be connected to the people affected by the work you do.

A practical, supportive culture: We value clear communication, accountability and problem-solving without creating unnecessary pressure or complexity.

Room to contribute: We are continuing to improve our systems as the clinic grows, and you will have opportunities to identify better, more efficient ways of working.

What working here feels like

You are trusted to take ownership of your area.

You have transparent responsibilities and recurring processes to manage.

You work closely with an approachable clinic owner and team.

You can ask questions and raise issues early.

You are encouraged to suggest improvements when you can see a better way.

You are part of a team that values accuracy, reliability, flexibility and kindness.

Your work is recognised as an important part of delivering good client care, not simply a back-office function.

How this role works

- Part-time, approximately two days per week or equivalent

- Flexibility in how the hours are spread across the week

- Primarily based at our Wangara clinic, with some flexibility potentially available once established

- Responsibility for payroll, NDIS claims, invoicing, accounts payable and day-to-day financial administration

- Use of Xero, practice management software, the NDIS portal and banking software

- Some tasks must be completed on particular payroll, payment or reporting dates

- Opportunity to improve and document financial processes as the clinic develops

Key responsibilities

This role will include:

- Processing payroll, including leave, allowances, kilometres, superannuation and payroll adjustments

- Setting up invoices in the practice management software

- Generating and submitting NDIA-managed claims

- Checking NDIS claims for rejected, missed or incorrect items and resolving issues

- Liaising with clients and plan managers about billing and invoice enquiries

- Monitoring and following up outstanding accounts

- Matching bank transactions and maintaining accurate financial records

- Uploading, checking and processing supplier bills

- Preparing and coordinating PAYG, BAS and other financial obligations

- Answering finance-related emails and telephone enquiries

- Identifying errors, discrepancies or overdue actions and following them through to resolution

Expectations

We believe in sustainable workloads, clear communication and reliable systems.

This role would suit someone who:

- Has worked in a similar finance, bookkeeping or accounts administration role

- Ideally has experience within an allied health,

disability, NDIS or medical practice

- Practical knowledge of NDIS invoicing and claims would send the right candidate to the top of our list

- Understands that different funding arrangements and NDIS line items require careful attention

- Is confident using (or learning) Xero, including payroll, accounts payable, superannuation and bank reconciliation

- Is highly accurate and notices when something does not look right

- Positive attention to detail and follow through, while working independently

- Communicates clearly, professionally and kindly with staff, families, plan managers and suppliers

- Is comfortable handling sensitive payroll, client and financial information

- Is organised, practical and calm when resolving problems

- Enjoys creating order and improving systems

Experience with allied health practice-management system would be highly regarded but is not essential.

NDIS experience is strongly preferred. However, we would also consider someone with excellent bookkeeping, payroll and financial administration experience who demonstrates the ability to learn complex systems quickly.

A note on culture

This is not a high-pressure, high-burnout environment. We are intentional about creating a workplace where people feel supported, respected and able to do their best work.

We also understand that neurodivergence does not only apply to our clients. We aim to create a workplace where communication is clear, expectations are explicit and people can talk honestly about what helps them work effectively.

You will be joining a small, close-knit team that cares about each other’s wellbeing and success. We value warmth and understanding alongside accountability, initiative and high-quality work.

Remuneration

Remuneration will be negotiated based on experience, qualifications and the level of NDIS and allied health finance knowledge you bring to the role.

Apply or reach out

If this sounds like the kind of role you have been looking for, we would love to hear from you.

Please send us your résumé and a short cover letter outlining:

- Your experience with Xero, payroll and financial administration

- Any experience with NDIS billing, allied health or medical practices

- When you would be available to commence

We welcome applicants of all backgrounds, identities and lived experiences.

You are also welcome to reach out for an informal conversation before applying.
