About the Role

The Volunteer Coordinator is responsible for leading and coordinating the Leeuwin Ocean Adventure Foundation’s volunteer programme, ensuring volunteers feel welcomed, supported, valued and equipped to contribute safely and confidently.

As the first point of contact for many volunteers, the role plays an important part in helping people feel welcomed, connected and valued from their first enquiry through to becoming active members of the Leeuwin community.

The Volunteer Coordinator builds strong relationships with volunteers, fosters a sense of belonging and ensures every individual feels supported to contribute with confidence.

The role oversees volunteer recruitment, onboarding, compliance, rostering, communication, recognition and ongoing engagement. Working closely with operational staff, the Coordinator helps ensure Leeuwin has a capable volunteer workforce to deliver exceptional youth development programmes.

This role also contributes to the Foundation’s long-term sustainability through volunteer participation, leadership development and retention.

Key Responsibilities
Volunteer Recruitment and Onboarding

You will lead the recruitment and onboarding of volunteers across ship-based and shore-based activities by:

- Promoting volunteer opportunities within the community.

- Responding to volunteer enquiries in a timely and welcoming manner.

- Coordinating volunteer interviews and selection.

- Delivering volunteer induction and onboarding programmes.

- Coordinating Working with Children Checks, National Police Checks, medical declarations and volunteer agreements.

- Maintaining accurate volunteer records and compliance systems.

- Ensuring every new volunteer has a positive and professional introduction to Leeuwin.

Volunteer Coordination

You will coordinate the Foundation’s volunteer workforce to support secure and effective operations by:

- Coordinating volunteer availability and rostering across voyages, day sails, maintenance periods, public events and organisational activities.

- Working closely with the Operations Manager, Voyage Coordinator, Captain and crew to identify volunteer requirements.

- Matching volunteers to roles based on skills, experience and operational needs.

- Monitoring volunteer capacity and identifying future workforce requirements.

- Maintaining volunteer rosters and regular communication with volunteers.

- Supporting operational readiness through effective volunteer planning.

- Coordinating the Duty Officer Roster, including recruiting suitable volunteers for the role.





- Assisting with Volunteer Crew Skill Training sessions and events where required.

Volunteer Experience and Engagement

You will create a positive, inclusive and rewarding volunteer experience by:

- Fostering a welcoming, respectful and inclusive volunteer culture.

- Maintaining regular communication through newsletters, updates and volunteer briefings.

- Coordinating volunteer recognition and appreciation initiatives.

- Supporting volunteer training and professional development opportunities.

- Organising volunteer social and networking events.

- Seeking volunteer feedback and identifying opportunities for continuous improvement.

- Encouraging long-term volunteer engagement and retention.

- Leading and managing the Volunteer Awards event.

Volunteer Programme Development

You will support the ongoing growth and sustainability of the Foundation’s volunteer programme by:

- Developing and implementing the Foundation’s Volunteer Strategy.

- Identifying opportunities to attract new volunteers from diverse backgrounds.

- Supporting leadership pathways for experienced volunteers.

- Improving volunteer systems, processes and resources.

- Monitoring volunteer participation, satisfaction and retention.

- Developing initiatives that strengthen the volunteer community and organisational culture.

Systems and Administration

You will maintain effective volunteer systems and reporting by:

- Maintaining accurate volunteer records and databases.

- Administering volunteer management systems, including Salesforce and other organisational platforms.

- Monitoring volunteer compliance requirements and renewal dates.

- Preparing reports on volunteer participation, workforce readiness and engagement.

- Supporting continuous improvement of volunteer systems and processes.

- Maintaining organised digital records, templates and documentation.

Skills and Experience
Essential

- Experience in volunteer coordination, community development, programme coordination or a related field.

- Demonstrated ability to recruit, engage and support volunteers.

- Excellent communication and relationship-building skills.

- Strong organisational and administrative abilities.





- Experience using CRM or volunteer management systems.

- Ability to manage multiple priorities in a dynamic environment.

- Current Working with Children Check, or the ability to obtain one.

- Current Australian Driver’s Licence.

Desirable

- Experience working within the not-for-profit sector.

- Understanding of volunteer best practice.

- Experience coordinating events or community activities.

- Knowledge of Salesforce, Better Impact or similar volunteer management systems.

- Appreciation of outdoor education, maritime operations or youth development programmes.

Position Details

- Employment type: Permanent Part-Time, 0.6 FTE

- Hours: 22.5 hours per week across three days

- Reports to: Operations Manager, with strategic direction provided by the Chief Executive Officer

- Direct reports: Nil

The days and hours of work will be agreed with the Operations Manager to meet operational requirements.

Some work outside normal business hours may be required to support volunteer events, training activities and voyages. Where practicable, this will be planned in advance.

The role works closely with the Chief Executive Officer, Voyage Coordinator, Community and Schools Coordinator, Marketing and Partnerships Coordinator, Finance Coordinator and other shore-based and shipboard staff.
