Every day, thousands of students, staff and visitors rely on our facilities to learn, work and collaborate. Behind the scenes, the Facilities Management team ensures that campuses operate safely, efficiently and with minimal disruption.
As a Facilities Operations Officer, you’ll be at the centre of these operations. You will coordinate and triage a high volume of maintenance and facilities requests, ensuring work is accurately prioritised and directed to the right people. From urgent repairs to planned maintenance, you will help the team deliver responsive, high‑quality facilities services across the University.
This role is ideal for someone who enjoys variety, thrives in a busy environment and takes pride in solving problems before they become bigger issues. You will work alongside experienced facilities professionals in a collaborative team where you will continually build your knowledge of facilities operations and maintenance management.
The Role
You’ll support the day‑to‑day operations of the Facilities Management team by:
- Triaging and coordinating maintenance and facilities requests using Maximo and ServiceNow
- Ensuring work orders contain accurate information and are assigned to the appropriate team or contractor
- Monitoring work queues and following up outstanding requests to support timely service delivery
- Liaising with staff, students, contractors and stakeholders to provide updates and resolve routine enquiries
- Assisting with contractor coordination, purchasing, invoicing, records management and operational reporting
- Contributing to process improvements that enhance service delivery and operational efficiency.
About you
The role is for you if you have:
- Experience working in facilities, maintenance, asset management or a similar operational environment within a large organisation
- Excellent organisational skills and a strong eye for detail
- Confidence to use your initiative, think critically and solve problems
- Outstanding customer service and communication skills
- The ability to manage competing priorities in a fast‑paced environment
- Experience using maintenance management systems such as Maximo (or similar), along with sound computer skills including Microsoft Excel.
Due to the operational requirements of the role, flexibility to work during part of the University’s Christmas concessional period is required. The role is primarily campus‑based to support the operational needs of the team. It is a fixed‑term,
full‑time position for 12 months at a HEW 5 Higher Education Worker Level and is located at Callaghan Campus.
