The Opportunity We're seeking a proactive and highly organised Administration Manager to play a key role in supporting the Foundation's operations and enabling the delivery of meaningful programs and initiatives.
This is an opportunity for someone who enjoys bringing structure to a purpose-driven environment, improving ways of working and building robust connections across a diverse group of stakeholders. Working closely with the Foundation team and external partners, you'll help ensure the organisation continues to operate effectively and deliver on its mission.
Key Responsibilities
Operations & Administration
- Coordinate day-to-day operations and administrative activities across the Foundation.
- Maintain and improve systems, processes and organisational documentation.
- Liaise with external service providers and support organisational planning and reporting.
Grants & Fellowship Administration
- Coordinate the administration of grant and fellowship programs from commencement through to reporting.
- Maintain accurate records, prepare documentation and support program delivery.
- Work closely with fellows, researchers and key stakeholders.
Stakeholder & Donor Engagement
- Foster strong relationships with donors, researchers, fellows and key stakeholders.
- Coordinate communications and support donor stewardship initiatives.
- Respond to enquiries professionally and represent the Foundation positively.
Events & Project Coordination
- Coordinate meetings, events and stakeholder engagement activities.
- Manage event logistics, timelines and administration.
- Support cross-functional projects and continuous improvement initiatives.
Governance, Compliance & Continuous Improvement
- Maintain accurate records and support governance and compliance requirements.
- Contribute to reporting, risk management and operational improvements.
- Ensure confidentiality and professionalism in all administrative activities.
About You
- Experience within the not-for-profit, health, research or membership sector (highly regarded)
- Experience in administration, operations, project or program coordination
- Strong stakeholder engagement and relationship management skills
- Experience coordinating events, meetings or organisational activities
- Excellent organisational, communication and time management skills
- Ability to manage competing priorities with accuracy and attention to detail
- A proactive mindset with a focus on continuous improvement
- Proficiency with Microsoft Office and administrative systems
