About the role
Full time permanent position based in Parkville, VIC. Reporting directly to the Team Leader, you will be responsible for:
- Maintaining accurate participant records and reporting in the Student Management System
- Responding to participant enquiries via phone, email and in person with exceptional customer service
- Preparing and distributing participant resources and training materials
- Supporting the administration of accredited and non-accredited education programs
- Coordinating attendance records, certificates, statements of attainment and qualifications
- Monitoring participant numbers, compliance requirements and program reporting
- Supporting facilitators, administrative projects and continuous service improvements
- Collaborating with internal teams while maintaining effective filing, documentation and administrative processes

About you To be successful in this role, we are looking for someone with the following:
1. Certificate or diploma in Business Administration and/or short courses in Microsoft applications OR No relevant qualifications and more than 12 months relevant experience
2. Experience as an administrative officer in the not-for-profit sector (highly regarded)
3. Shows initiative, reflects on performance and embraces continuous learning
4. Builds collaborative relationships to remove barriers and achieve customer-focused outcomes
5. Experience using MS Office, databases and learning management systems to deliver efficient, effective services
6. Communicates clearly, listening actively and building consensus across diverse audiences
