Executive Support Officer
Your new company
As the Executive Support Officer, you will provide high-level, confidential executive secretarial and administrative support to meet the functions of the office. You will set priorities and monitor workflows to manage the daily functions of the office, including human resource and financial administration, records management and secretariat duties, as required to ensure the responsibilities and statutory obligations of senior executive officers are achieved.
Your new role
- Screening and monitoring phone calls
- Managing executive emails and appointment diary
- Organising meetings, workshops, conferences, travel and other events
- Preparing briefing documentation, and coordinating quality assurance of correspondence, reports, presentations, speeches, agendas, and minutes
- Ensuring compliance and governance is maintained.
- Monitor, prioritise, register, action and disseminate incoming correspondence to effectively manage critical information and workflows to meet ministerial and departmental deadlines.
- Communicate and liaise with staff, clients and stakeholders on a wide range of issues affecting the senior executive's area of responsibility in a professional and positive manner.
- Coordinate the administrative operations of the office to ensure that practices and activities are delivered in a timely and efficient manner.
- Provide secretariat support as required for meetings and committees by preparing agendas, recording and circulation of minutes and follow-up on actions and outcomes.
- Provide procedural advice and direction to executive support staff across the Division and undertake reviews and implement changes to administrative systems (including filing, recording and reporting systems) to improve processes and outcomes.
- Ensure office equipment, resources and supplies are efficiently and effectively maintained.
What you'll need to succeed
- Previous Queensland Government or broader government experience
- Experience working in a quick-paced Executive Support or Executive Assistant role
- Comfortable managing high volumes of correspondence
- Previous Ministerial correspondence and Government correspondence experience
- Diary management and Stakeholder liaison experience
- Advanced at Microsoft Office Suite and EDRMS (Electronic Document & Records Management System)
- Ministerial correspondence systems/processes experience highly regarded
