Role
Balwyn High School (BHS) is a leading Victorian Government school known for academic excellence and a broad co-curricular offering.
The Communications and Administration Officer is a key member of the Finance and Administration Team, providing exceptional front office reception and administrative support while coordinating the school's internal and external communications. As one of the first points of contact for students, parents, staff and visitors, the role plays an important part in creating a welcoming, professional and efficient experience for the school community.
The position combines strong customer service and administration skills with an eye for communication and design. Working collaboratively across the school, you will support the day-to-day operations of the front office while producing professional publications that celebrate and promote the achievements of Balwyn High School.
Responsibilities:
Reception and Front Office
- Act as one of the first points of contact for students, parents, staff, visitors and external agencies, providing a professional, welcoming and customer-focused service.
- Manage the reception area, ensuring visitors are greeted, signed in and directed appropriately.
- Respond to telephone, email and face-to-face enquiries, resolving matters where possible and referring enquiries to the appropriate staff member.
- Provide accurate information to families, students and visitors while maintaining confidentiality and professionalism.
- Support the smooth day-to-day operation of the Administration Office and contribute to a positive experience for the school community.
Administration
- Provide high-quality administrative support across the school, including mail handling, filing, stock control, calendar support and document preparation.
- Maintain student, family and staff records using CASES21, Compass and other Department systems.
- Provide support with the printing, collation and distribution of school documentation.
- Assist with the maintenance, monitoring and basic troubleshooting of school printers,
liaising with service providers where required.
- Assist with data entry, reporting and record management.
- Support the administration of school events, excursions, information evenings and Presentation Night.
- Provide administrative support to the First Aid Officer and broader Education Support team as required.
- Assist with other administrative projects and duties as directed by the Business Manager or Principal.
Communications and Publications
- Coordinate the production of The Lion school newsletter.
- Design and produce professional publications using Adobe InDesign and other design software.
- Collaborate with staff, students and the AV team to source stories, photographs and content showcasing school achievements.
- Ensure publications are accurate, well presented and aligned with the school's branding and style guidelines.
- Update communication materials across digital platforms, including website content where required.
- Liaise with printers and external suppliers to coordinate publication production.
- Support the promotion of school events, initiatives and achievements through high-quality communications.

Demonstrated ability to provide outstanding customer service in a busy reception or administrative environment, with the ability to communicate professionally, confidently and respectfully with students, parents, staff, visitors and external stakeholders.

Demonstrated commitment to collaboration, continuous improvement and professional learning, with the ability to build positive working relationships and contribute to a welcoming, inclusive and professional school environment.
SC3
Demonstrated experience producing professional publications, newsletters or digital communications, with proficiency in software such as Adobe InDesign, Canva or similar. A portfolio of work may be requested during the selection process.
SC4
Demonstrated organisational, administrative and time management skills, including the ability to manage competing priorities, exercise sound judgement, maintain confidentiality, and work effectively in a fast-paced workplace while maintaining a high level of accuracy and attention to detail.
SC5
Demonstrated proficiency in Microsoft Office and the ability to quickly learn new software and administrative systems. Experience using CASES21, Compass or similar education management systems would be highly regarded.
