K&S; Hennes Family Trust This position is responsible for the day-to-day operational management of two dental practice locations. The Office Manager is required to work across both sites as directed to ensure consistent service delivery, operational efficiency, and compliance with practice policies and procedures.
Position Purpose The Dental Practice Office Manager is responsible for overseeing the administrative and operational functions of both dental practices, ensuring the productive delivery of patient services while supporting the clinical team. The role provides leadership to administrative staff, coordinates practice resources, maintains compliance with relevant legislation and industry standards, and implements systems that promote high-quality patient care and business performance across both locations.
Key Responsibilities Practice Operations Manage the daily administrative operations across both dental practice locations. Develop, implement and review administrative procedures to improve workflow, efficiency and patient experience. Establish and maintain high standards of customer service and operational performance.
Monitor appointment scheduling, patient flow and front office processes to maximise efficiency. Coordinate operational priorities between both practice locations to ensure consistent service delivery. Staff Leadership and Coordination Allocate administrative resources, equipment and workspace to meet operational requirements across both sites.
Supervise, support and coordinate reception and administrative staff. Allocate duties, monitor staff performance and provide ongoing coaching and guidance. Assist with recruitment, onboarding,
training and induction of new administrative employees.
Participate in performance reviews and support ongoing staff development. Prepare and coordinate staff rosters to ensure appropriate staffing levels across both practices. Financial and Administrative Management Oversee patient billing, receipting, banking and daily reconciliation processes.
Monitor administrative records and ensure accurate maintenance of patient information and practice documentation. Assist with management reporting, budgeting and monitoring of operational expenses. Coordinate payroll information and liaise with external payroll or bookkeeping providers where required.
Ensure confidentiality of financial and patient information at all times. Compliance and Quality Assurance Ensure both practice locations comply with relevant legislation, privacy requirements, infection prevention protocols, workplace health and safety obligations and applicable dental industry standards. Maintain practice policies and administrative procedures to reflect current regulatory requirements.
Coordinate accreditation activities and quality improvement initiatives where applicable. Ensure appropriate maintenance of records required by regulatory authorities. Facilities and Equipment Coordinate maintenance of office equipment, reception facilities and administrative systems across both sites.
Monitor stock levels of office and administrative supplies and arrange timely ordering and replenishment. Liaise with suppliers, service providers and contractors regarding administrative equipment and practice support services. Communication and Stakeholder Management Act as the primary administrative liaison between the Practice Principal(s), clinicians, administrative staff and external service providers.
Work collaboratively with dentists, oral health professionals and clinical staff to ensure smooth day-to-day operations. Assist in resolving operational issues, patient concerns and administrative enquiries professionally and efficiently. Support the implementation of business initiatives, practice improvements and organisational objectives across both locations.
Skills and Experience Demonstrated experience in practice management, office management or healthcare administration, preferably within a dental or medical practice. Strong leadership and people management skills. Excellent organisational and time management abilities.
High level communication and interpersonal skills. Experience using dental practice management software. Sound financial administration and reporting skills.
Ability to manage competing priorities across multiple locations. Strong problem-solving and decision-making capabilities. Qualifications Relevant qualification is desirable.
Previous experience managing administrative operations within a dental or healthcare environment is highly regarded.
