We are seeking an organized, safety-conscious, and detail-oriented Dispatch Officer to oversee the daily loading, scheduling, and outgoing distribution of our metal products (including steel beams, sheets, structural components, and custom cut lengths).
In this role, you will be the central pivot between warehouse production, transport contractors, drivers, and sales management—ensuring orders are packed securely, loaded safely, and delivered accurately and on schedule.
Key Responsibilities
1. Logistics & Daily Dispatch Operations
- Coordinate daily dispatch schedules for outgoing deliveries via company drivers and third-party transport contractors.
- Prepare, verify, and consolidate delivery dockets, manifests, heat certificates, and bill of lading paperwork.
- Optimize truck load plans to balance weight distribution, prioritize route efficiency, and ensure cost-effective freight utilization.
- Perform quality control checks on finished metal orders before dispatch to verify exact quantities, dimensions, grades, and finishes against customer orders.
1. Warehouse & Yard Coordination
- Directly oversee forklift and crane operators loading flatbeds, semi-trailers, and heavy vehicles.
- Ensure all metal products are correctly bundled, banded, strapped, and secured for safe transit in accordance with transport regulations.
- Monitor staging areas in the warehouse to ensure finished goods are clearly labeled and ready for load times.
- Receive and process returned goods or rejected materials promptly, following company protocol.
1. Safety, Quality & Compliance
- Strictly enforce site Work Health and Safety (WHS) protocols and chain of responsibility regulations (CoR).
- Conduct pre-load risk assessments and check truck weight limits (Axle weight standards) to prevent overloading.
- Enforce personal protective equipment (PPE) requirements and safe lifting practices across the dispatch bay.
1. Communication & ERP System Management
- Utilize the company ERP system (e.g., Dynamics AX, SAP, ORACLE) to update order statuses, complete inventory transfers, and mark goods as dispatched.
- Maintain active communication with the Sales and Customer Service teams regarding dispatch delays, transport issues, or partial shipments.
- Liaise directly with transport carriers to handle delivery queries, ETA updates, and freight claims.
Key Qualifications & Requirements
- Experience: Transport coordination, or logistics experience in a heavy industry, metal distribution, building materials, or manufacturing setting.
- Forklift License: Current High-Risk Work License (Forklift / LF) required. Heavy forklift or overhead gantry crane experience is a strong advantage.
- Systems Literacy: Experience with enterprise inventory/ERP systems and logistics software.
- Heavy Vehicle Knowledge: Clear understanding of chain of responsibility (CoR), transport load restraint guidelines, and vehicle weight capacities.
- Physical Capability: Ability to work in a busy factory/yard environment, walk long distances, and carry out light physical tasks safely.
- Skills: Excellent communication skills, strong spatial awareness for load planning, and calm under pressure when handling fast-changing logistics schedules.
