Primary objective
Provide high-level, confidential executive and administrative support to the Chief Procurement Officer and Procurement
Operations Team, ensuring efficient coordination of business activities, timely information flow, and delivery of high-quality outputs in a fast-paced and sensitive environment.
Context statement The Procurement Operations team provides strategic oversight,
governance and operational support for procurement activities across the Department. This role is critical to enabling the Chief Procurement Officer and senior leaders to manage priorities, meet deadlines, and maintain effective stakeholder engagement through coordinated, high-quality executive support services.
Key duties and responsibilities
- Deliver high-level executive and administrative support, including diary, correspondence and briefings
- Coordinate communications, information flow and documentation to meet deadlines.
- Undertake procurement and financial administration in line with policy
- Build stakeholder relationships and manage competing priorities.
- Foster a positive workplace culture through exemplary practices and role modelling behaviour.
Selection criteria
Essential
- Demonstrated experience providing high-level executive or administrative support in a complex environment
- Strong organisational and time management skills, with the ability to manage competing priorities and meet deadlines
- High-level written and verbal communication skills, including preparation of executive-level documentation (including briefings, presentations, reports, using Microsoft suite including Excel, Visio and PowerPoint)
- Proven ability to maintain confidentiality, exercise discretion and manage sensitive information.
- Well-developed stakeholder engagement skills, with the ability to build and sustain effective working relationships.
- Solid attention to detail, initiative and ability to work autonomously and as part of a team.
Desirable
- Certificate III in Office Administration/Business or similar experience.
- Drivers licence (NT).
