Your new company An exciting opportunity has become available for an experienced Facilities Coordinator to join a large and respected tertiary education provider based in Melbourne's south-east.
Supporting the Campus Services & Infrastructure team, you will play a key role in coordinating facilities requests, contractor engagement, purchase orders, service desk enquiries and day-to-day facilities operations across a busy campus environment. This is an excellent opportunity for a proactive administrator or facilities professional looking to utilise their coordination and stakeholder management skills within a fast-paced and collaborative environment.
Your new role
As the Facilities Coordinator, you will act as a central point of contact for facilities and maintenance requests, ensuring service requests, work orders, contractors and suppliers are effectively managed and communicated across the organisation.
Key responsibilities will include
- Managing facilities and maintenance requests through ServiceNow and internal systems
- Raising purchase orders and maintaining accurate records across financial and asset management platforms
- Coordinating contractors, suppliers and service providers to ensure timely completion of works
- Monitoring facilities inboxes and responding to stakeholder enquiries
- Processing work order updates, documentation and service reports
- Liaising with finance and accounts payable teams regarding invoices and procurement matters
- Supporting supplier performance monitoring and contract administration activities
- Maintaining facilities, procurement and contractor records
- Monitoring office consumables, stationery and operational supplies
- Producing reports and supporting the broader Campus Services & Infrastructure team with administrative and coordination activities.
What you'll need to succeed To be successful in this role, you will be an organised and customer-focused skilled who enjoys working across multiple priorities and building strong stakeholder relationships.
You will ideally possess
- Previous experience in facilities coordination, facilities administration, property administration or workplace services
- Experience managing work orders, maintenance requests or service desk enquiries
- Strong administration and data management skills
- Excellent written and verbal communication abilities
- Experience working with contractors, suppliers and internal stakeholders
- Strong Microsoft Office skills, including Outlook and Excel
- A proactive and solutions-focused approach to problem-solving
- The ability to prioritise competing tasks and work independently in a busy environment.
Experience using ServiceNow, TechOne or similar facilities management systems will be highly regarded but is not essential.
