Do you know HubSpot inside and out, enjoy helping people and love being the person who keeps everything running smoothly? We're partnering with a well-established, member based organisation in Melbourne's eastern suburbs to recruit a newly created HubSpot & Customer Support Coordinator.
While HubSpot experience is essential, this position is about far more than maintaining a CRM. You'll become a trusted support person across the organisation, working closely with the CEO and wider team to keep day-to-day operations running efficiently.

The Role
Approximately 40% of your role will focus on HubSpot, ensuring CRM records remain accurate, organised and up to date. The remaining 60% will see you supporting the wider business across customer service, administration and office coordination.
Your responsibilities will include
- Maintaining and updating HubSpot CRM records
- Creating lists and supporting reporting within HubSpot
- Managing a shared inbox and triaging enquiries
- Answering and directing incoming phone calls
- Providing exceptional customer service to members and stakeholders
- Supporting the CEO and wider team with administration
- Liaising with an external IT provider regarding internal requests
- General office administration
- Assisting with projects and member communications as required
About You
To be successful, you'll ideally bring:
- Strong practical experience using HubSpot (this is essential)
- Confidence maintaining CRM data integrity and pulling reports or lists
- Previous administration or office coordination experience
- Outstanding customer service and communication skills
- A warm and professional phone manner
- Excellent organisational skills and attention to detail
- Confidence working independently
- Strong initiative and problem-solving ability
More importantly than your background, we're looking for someone who naturally takes ownership, enjoys figuring things out and doesn't wait to be told every next step.
This Role Isn't For Everyone
This position isn't the right fit if you:
- Have only basic exposure to HubSpot
- Are looking for a dedicated CRM or data administration role
- Prefer highly repetitive work with little variety
- Don't enjoy answering phones or dealing with customers
- Require extensive training before becoming productive

We're specifically looking for someone who has confidently used HubSpot beyond basic data entry and can maintain CRM records, generate lists and support the wider team with minimal training and who loves working in customer service.
