Position Description
Our college is seeking an experienced, detail-oriented Human Resources Specialist for an immediate-start. You will hit the ground running to manage essential operational HR workflows and ensure compliance across the campus. Remuneration will be based on qualification and experience. Prior experience as a Human Resources specialist in a school setting is essential. The HR Specialist serves as the vital on-campus link for all personnel and operational human resources matters.
Operating as a hands-on generalist, this role maintains day-to-day employee lifecycle tasks, ensures local school policy execution, and acts as the primary coordinator and conduit between school leadership, staff, and the external outsourced HR company
Key Responsibilities
- Conduct thorough and timely pre-employment reference checks.
- Draft compliant employment contracts and onboarding documentation.
- Provide accurate advice interpreted from relevant industrial awards.
- Maintain accurate employee records and assist with general HR administration.
Skills and Experience
- Proven experience in end-to-end contract drafting and HR administration.
- Demonstrated experience with the Educational Services (Schools) General Staff Award (CMEA) highly regarded.
- Exceptional attention to detail and strong communication skills.
- Ability to work independently in a fast-paced environment.
Responsible:
- Serve as the main local point of contact for the external outsourced HR firm, facilitating smooth communication and workflow execution.
- Collect and relay employee documentation, queries, and policy clarifications between campus staff and external HR/legal specialists.
- Assist external consultants in scheduling, rolling out, and executing strategic HR programs, training modules, or performance review frameworks on campus.
- Coordinate local recruitment processes, including drafting local ad copy,
managing application intake, and scheduling campus interviews in alignment with the outsourced firm’s recruitment guidelines.
- Prepare local onboarding packages, issue employment contracts vetted by the external partner, and guide new faculty and staff through orientation.
- Manage local screening requirements, ensuring all mandatory state/national working-with-children checks, background screenings, and reference verifications are finalized prior to commencement.
- Maintain secure, accurate, and up-to-date physical and digital personnel files within the school’s HRIS, tracking credentials, teaching registrations, and contractual changes.
- Monitor compliance tracking (e.g., mandatory safety training, child protection modules, first aid certifications) and report metrics to school leadership and the outsourced compliance team.
- Handle routine, day-to-day employee queries regarding leave, benefits enrollment, or general school procedures, escalating complex grievances or industrial relations matters directly to the outsourced HR partner.
Key Responsibilities
- Recruitment management – interviewing, hiring, and onboarding new staff.
- Onboarding new employees including management of inductions and probationary periods.
- Managing and maintaining all staff personnel records. All records to be up-to-date at all times.
- Manage staff appraisal, staff training, and personal development planning via HR platform
- Conduct and report on staff surveys and provide accurate and timely reports.
- Provide advice, investigate, and report on employee relations issues including internal staff grievances and external complaints.
- Liaison with Workers’ Compensation Agencies and rehabilitation providers.
- Co-ordinate all return-to-work processes.
- Maintaining contact with staff and management throughout the RTW period.
- Maintaining annual review lists for Career development, Training, and Leave.
- Implement and maintain the school’s new staff Induction package.
- Developing; Implementing and Co-ordinating School HR Policies and Procedures.
- Liaise with all management and leadership team members of the school.
- Demonstrated in-depth knowledge of human resources, experience and expertise.
- Demonstrated experience of effective negotiation, collaboration and communication skills with a wide range of stakeholders.
- Demonstrated high level computer skills including Word, Excel.
- Keep management abreast of any new and/or existing HR changes.
- Assist staff with HR related queries.
- Coordinating employment advertisements.
- Creating first round short lists.
- Preparing candidate correspondence letters:
Unsuccessful / Next Interview / Successful / Letter of offer.
- Arranging pre-employment checks: Referees.

- Experience working in similar role in an independent school setting (K-12).
- High-level organizational and problem-solving skills.

- Working with Children Check must be obtained within 30 days of commencement

Teachers at Minarah College are employed under the Independent Schools (Professional and Operational) Cooperative Multi-Enterprise Agreement 2025
