We’re looking for an organized, proactive, and professional Office Executive to support daily office operations and help maintain an efficient, productive, and welcoming workplace. In this role, you will coordinate administrative activities, manage office resources, maintain records, support employees and managers, and assist with general business operations. You'll collaborate closely with HR, finance, operations, management, suppliers, and external service providers to ensure the smooth running of office functions.

Coordinate day-to-day office administration and ensure daily activities run smoothly and efficiently.

Provide administrative support to managers, employees, and internal departments.

Manage office supplies, equipment, facilities, maintenance requests, and external service providers.

Coordinate calendars, appointments, meetings, correspondence, and internal communications.

Prepare, format, and maintain reports, documents, presentations, spreadsheets, and business records.

Maintain accurate digital and physical filing systems, databases, and office documentation.

Handle incoming calls, emails, visitors, and general enquiries in a professional and friendly manner.

Coordinate office meetings, staff activities, business events, travel arrangements, and internal functions when required.

Process invoices, purchase orders, expense claims, and other office-related transactions.

Support employee onboarding, staff records, leave administration, and general HR administration activities.

Liaise with landlords, contractors, suppliers, vendors, and external service providers to resolve office-related matters.





Monitor office supplies, administrative expenses, budgets, and resource requirements as required.

Assist with data entry, record keeping, document management, and general administrative processes.

Maintain confidentiality when handling sensitive employee, financial, customer, and business information.

Identify opportunities to improve office procedures, administrative workflows, and operational efficiency.

Assist with special projects and cross-functional business initiatives as required.

Contribute to continuous improvement initiatives that enhance office productivity, service quality, and administrative efficiency. ✅ Requirements

Solid organizational, administrative, and time management skills with excellent attention to detail.

Previous experience in office administration, office coordination, administrative support, reception, or a similar role is advantageous.

Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.

Strong written and verbal communication skills with a professional, friendly, and approachable manner.

Ability to manage multiple tasks, priorities, and deadlines in a fast-paced workplace.

Excellent interpersonal skills with the ability to collaborate effectively across different departments.

Strong problem-solving skills and a proactive approach to managing office operations.

Ability to handle confidential and sensitive information with discretion and professionalism.





Familiarity with office management systems, CRM platforms, HR systems, accounting software, or ERP platforms is advantageous.

Strong data entry, documentation, and record-keeping skills with a high level of accuracy.

Ability to work independently while contributing positively to a collaborative team environment.

High level of reliability, accountability, adaptability, professionalism, and attention to detail.

Strong customer service mindset with the ability to communicate effectively with employees, suppliers, visitors, and external stakeholders.

Commitment to continuous learning, process improvement, and maintaining high administrative standards.
