Coordinate day-to-day office operations to ensure a clean, secure, and functional workspace. Manage facility services including cleaning, waste management, security, and utilities. Liaise with landlords, contractors, and service providers regarding building maintenance and repairs. Oversee planned and reactive maintenance activities, ensuring minimal disruption to operations.

Occupational

Health & Safety (OH&S;) Support implementation and ongoing compliance with workplace health and safety policies and procedures in line with Victorian legislation. Conduct workplace inspections, risk assessments, and safety audits. Maintain incident and hazard reporting systems, ensuring timely investigation and resolution.

Coordinate safety training, inductions, and emergency preparedness (e.g. fire wardens, evacuation drills). Liaise and report regularly to OMICRON’s international network of OH&S; professionals. Promote a culture of safety and continuous improvement.

Procurement & Inventory Management Manage procurement of office supplies, equipment, and services. Monitor stock levels and maintain inventory control systems. Source and liaise with vendors to ensure cost‑effective and timely procurement.

Process purchase orders and track expenditures in line with budget controls. Access & Security Management Administer access control systems (e.g. fobs, keys, visitor management). Ensure secure access protocols are followed by employees, contractors, and visitors.

Maintain access registers and manage onboarding/offboarding access requirements. Engage, coordinate, and monitor third‑party contractors and service providers.



Ensure all contractors comply with OH&S; requirements and site policies.

Review service agreements and ensure deliverables are met.

Administrative Support

Provide general administrative support related to facilities and office management. Maintain records, reports, and documentation relating to facilities, quality, safety, and procurement. Assist with office‑related projects, relocations, or improvements. What we’re looking for Skills & Experience - Proven experience in office coordination, facilities management, or a similar role.

- Knowledge of OH&S; legislation and practices (Victoria preferred).
- Exposure to quality management and internal auditing.
- Experience in procurement, vendor management, and contractor coordination.
- Strong organisational and multitasking skills.
- Excellent communication and stakeholder management abilities.
- Ability to work independently and manage competing priorities.
- Comfortable working in cross‑functional and international teams.
- Able to provide a National Police Check if requested.

Qualifications - Certificate or Diploma in Business Administration, Facilities Management, or related field (desirable).

- OH&S; certification or training (desirable). Key Attributes - Proactive and detail‑oriented.

- Commitment to safety and continuous improvement. Office‑based role located in Mill Park, with occasional interaction with contractors and external providers. May require occasional after‑hours coordination for urgent maintenance or safety matters.
