Due to continued business growth, we are seeking an experienced and motivatedOffice Managerto oversee our administrative operations and support the efficient running of our business.

About the Role

Reporting directly to Management, the Office Manager will be responsible for planning, organising and coordinating the day-to-day administrative operations of the business. This is a leadership position requiring strong organizational skills, sound business judgement and the ability to manage office systems, staff and operational processes.

Key Responsibilities

The successful applicant will be responsible for:

- Planning, organizing and coordinating daily office administration and operational activities.
- Developing, implementing and reviewing office policies, procedures and administrative systems to improve efficiency and productivity.
- Managing the day-to-day operations of the office to ensure smooth business performance.
- Supervising, mentoring and supporting administrative staff, including allocating work, monitoring performance and providing training where required.
- Coordinating recruitment, onboarding and induction of current office employees.




- Managing office budgets, monitoring administrative expenditure and implementing cost-effective office practices.
- Maintaining accurate business records, confidential documentation and document control systems.
- Coordinating purchasing and inventory of office equipment, supplies and consumables.
- Liaising with customers, suppliers, subcontractors, insurance companies and other stakeholders.
- Coordinating technician schedules and administrative workflow to ensure efficient service delivery.
- Preparing quotations, invoices, reports and business correspondence.
- Supporting accounts receivable and accounts payable functions in conjunction with management and external accountants.
- Monitoring business performance reports and providing administrative support to senior management.
- Organising meetings, preparing agendas, recording minutes and following up action items.
- Ensuring compliance with company policies, Work Health and Safety (WHS) requirements and relevant Australian legislation.
- Identifying opportunities to improve administrative systems, workflow and business processes.
- Supporting management with operational planning and business improvement initiatives.
- Maintaining high standards of customer service across all administrative functions.





Skills and Experience

To be successful in this role you will have:

- A minimum of 3 years' experience as an Office Manager or in a similar office management role.
- Demonstrated experience supervising administrative staff and coordinating office operations.
- Excellent organisational, planning and time management skills.
- Strong leadership and interpersonal skills.
- High level written and verbal communication skills.
- Excellent problem-solving and decision-making abilities.
- Strong attention to detail and ability to manage multiple priorities.
- Advanced computer skills, including Microsoft Office Suite.
- Experience using business management and accounting software such as Xero, ServiceM8, Simpro or similar.
- Experience preparing business reports, invoices and administrative documentation.
- Ability to work independently and maintain a high level of professionalism and confidentiality.

Qualifications

Applicants should possess one of the following:

- A Diploma or higher qualification in Business, Business Administration, Management or a related discipline; AQF Associate Degree, Advanced Diploma
- OR Diploma and one year of full-time (or part-time equivalent) work experience.
