The Payroll & HR Administration Officer is responsible for the accurate and timely processing of payroll and the administration of employee records and HR systems. The role ensures compliance with payroll legislation, employment obligations, company policies and award requirements while providing administrative support across the employee lifecycle. This role acts as a key link between Finance, People & Culture and employees to ensure payroll accuracy, data integrity and a positive employee experience.

Payroll Administration

- Process end-to-end multi-cycle payroll (fortnightly) for all Australian employees with a high degree of accuracy and timeliness.

- Administer, maintain and audit payroll records, including salary adjustments, tax withholdings, direct deposit, and diverse deductions (benefits, garnishments, retirement plans).

- Calculate and process pay components such as overtime, bonuses, shift differentials, and paid time off.

- Ensure strict compliance with all federal, state and local payroll, tax and wage-hour laws; prepare and submit monthly and annual payroll tax filings. Maintain and validate the payroll processing schedule and checklist.

- Perform thorough pre- and post-payroll reconciliations of general ledger accounts. Process end-of-financial-year payroll reconciliation, STP finalisation and generate annual payment summaries.

- Process payroll journals and perform regular reconciliations of payroll-related general ledger accounts (e.g. payroll tax, superannuation, workers' compensation).

- Serve as the first point of contact for employee inquiries regarding pay, taxes and deductions,



resolving issues promptly.

- Manage and oversee the fortnightly timesheet process, including chasing approvals, resolving queries and correcting missing punches/absences prior to pay run processing.

- Prepare, calculate and lodge annual WorkCover returns and calculate monthly insurance provisions.

- Administer salary packaging and novated lease arrangements, including calculations, deductions and coordination with providers.

- Conduct annualised salary reconciliations (BOOT) to ensure compliance with award conditions and verify that all employees are paid above the applicable award rate.

- Generate and distribute monthly bonus reports (e.g. GBS bonuses).

- Support annual remuneration review with remuneration data.

- Stay informed of regulatory changes and best practices in payroll.

- Support internal and external audits by providing accurate documentation and reports for payroll.

- Maintain and update Payroll Policies and Procedures

HR Administration & HRIS

- Administer employee records, including new hires (onboarding) and terminations (offboarding).

- Preparation of employment contracts and contract variations.

- Payroll interface and HRIS administrator for Human Resources on any employee-related amendments and data requirements.

- Collaborate closely with Human Resources and other team members to ensure data integrity and operational synergy.

- Proactively identify and contribute to HRIS process improvements to enhance accuracy, efficiency and internal controls.

- Maintain and update HRIS Policies and Procedures.
