A growing accounting and advisory firm is seeking a remote Practice Administrator to support finance administration, client relationships, and marketing. Reporting to the firm's Admin Manager, the role spans ASIC corpsec, compliance, and firm-wide process improvements.

About the Role

The firm is looking for an experienced Practice Administrator to join the team in a fully remote, online capacity, working closely with the existing Admin Manager to keep the firm running smoothly. This role provides dedicated, Australia-based support across ASIC/ATO corpsec services, finance administration, client relationships, and marketing support. The role involves ownership of core practice administration functions — WIP, billing, and reporting— alongside managing key client relationships, supporting client and team onboarding, and assisting with marketing activities and events. This is a remote role that works in close collaboration with the overseas-based admin team to ensure consistent processes and coverage across time zones.

Key Responsibilities

- Manage WIP, billing cycles, and month-end processes across client engagements
- Handle support queries and general operational administration
- Handle ASIC and ATO correspondence, including company/trust registrations,



lodgements, renewals, and company changes
- Manage and nurture key client relationships, acting as a skilled first point of contact
- Coordinate onboarding processes for new clients, and support onboarding for new team members
- Assist with marketing activities and events, from planning through to on-the-ground execution
- Support AML/CTF compliance requirements, including customer due diligence, verification, and reporting obligations
- Assist with trust setup tasks, including documentation related to trust settlements, settlors, and deeds
- Manage local logistics, including posting swag and correspondence, issuing/receiving laptops and equipment for the team, and corpsec documents as required
- Answer incoming calls and manage front-of-house enquiries
- Identify and implement improvements to administrative processes to streamline operations
- Support the rollout of new software and procedures to drive efficiencies firm-wide
- Support managers with reporting, employee capacity and workflow tracking, and the firm's compliance program

to maintain consistent workflows and coverage
- Help rollout AI based improvements and efficiencies across the firm

About You

- Extensive experience in practice management and finance administration within professional services
- Strong practice management capabilities, including WIP management, billing, month-end processes, engagement updates, reconciliations, and operational administration
- Proven track record of improving administrative and finance processes to strengthen internal workflows
- Previous experience within a chartered accounting firm, with management over WIP management, billing, capacity reporting, engagement reviews and Xero
- Strong client-facing skills, with experience managing key client relationships
- Experience handling ASIC and ATO correspondence, including company registrations, lodgements, renewals, and company changes
- Familiarity with AML/CTF obligations and trust administration processes
- Comfortable assisting with marketing activities and IRL events
- Professional, proactive, highly organised, and polished in both communication and presentation
- Ideally senior experience with modern accounting softwares like XPM, FYI/SuiteDocs/Karbon or similar.
