You will be the first person people meet at My Supports. On the phone, at the front desk and by email, you set the tone for how clients, carers, staff and visitors experience us.
This is a busy, varied role for someone who likes being at the centre of things. You will run reception and keep the office working well, and you will also support our P&C;, rostering and marketing teams when they need an extra pair of hands.
About My Supports
My Supports is a registered NDIS provider built on a simple idea: disability support should be local, personal and shaped by people who understand it from the inside. Over 70% of our team have lived experience of disability or caring.
We have turned the usual structure upside down. Our Neighbourhood Team Leaders sit at the top, making decisions in the communities they live in. We are not a large faceless provider, and we do not want to be.
How this role works
This is an on site role, five days a week at our Midland office. Reception is the front door of the business, so we need someone at it every day.
Your manager is based remotely and will support you by phone and video, with regular check ins and clear escalation points. Day to day you will run your own workload. We are looking for someone with genuine enthusiasm who takes the initiative, works to the process where one exists, and raises things early when a decision is needed.
What you will do
- Answer incoming calls promptly, take clear messages, and direct enquiries to the right person or team.
- Welcome clients, carers, staff and visitors,
and manage the flow of people through the office.
- Manage shared enquiry inboxes, general correspondence, mail and courier deliveries.
- Complete accurate data entry, scanning, filing and record keeping across our systems.
- Follow up and record employee compliance documents so mandatory worker documents stay current.
- Support the rostering on call team between 3.00pm and 5.00pm when they are offline, including helping to fill urgent shifts.
- Keep the reception area, meeting rooms and staff room tidy, stocked and well presented, and coordinate maintenance and deliveries.
- Assist the marketing team with administrative tasks, including distributing promotional materials.
- Prepare documents and provide administrative support to the executive team.
What you will bring
- A warm, calm and professional manner, and real care for the people in front of you.
- Enthusiasm and initiative. You notice what needs doing and get on with it.
- The confidence to work independently with a manager who is not in the room, and good judgement about what to handle yourself and what to escalate.
- Comfort working to an established process, and the willingness to say when one is not working.
- Experience on a multi line phone system, comfortable with high call volumes.
- High level Microsoft Office skills and accurate, detailed administration.
- Strong organisation and time management, with the ability to juggle competing priorities.
- Clear communication across phone, email and written correspondence.
- Confidence handling difficult or distressed callers and resolving issues calmly.
- Discretion with confidential information.
- Bonus points for an understanding of the NDIS and disability sector.

What you will need
- NDIS Worker Screening Check, or willingness to obtain one.
- Working With Children Check, where required in your state.
- The right to work in Australia.
