Our client is a well-established and growing building services business delivering repair and restoration projects across NSW. Working closely with customers, contractors and internal teams, they have built a strong reputation for delivering quality outcomes and exceptional customer service. Due to continued growth, they are looking for an experienced Administration & Project Coordinator to become the central point of coordination within their operations team. This is a fast-paced, office-based role where approximately 85% of your time will be spent coordinating repair projects, managing workflow, scheduling contractors and ensuring projects progress within client KPI timeframes. The remaining portion of the role will provide operational and administrative support to the leadership team and wider office. The Opportunity

Working closely with the Operations Manager and wider team, you'll coordinate multiple live jobs from allocation through to completion, ensuring customers remain informed, contractors stay on schedule and project information is maintained accurately across internal systems.

Key Responsibilities

- Coordinate repair projects from allocation through to completion.
- Schedule supervisors, trade contractors and specialist suppliers across multiple live jobs.




- Monitor project progress and proactively follow up outstanding actions to ensure client KPI timeframes are achieved.
- Maintain accurate project information, documentation and workflow within the company's job management and client systems.
- Upload quotations, reports and supporting documentation within required service timeframes.
- Raise and manage purchase orders and associated project documentation.
- Provide regular updates to customers throughout the repair process, ensuring a professional and positive customer experience.
- Liaise daily with customers, contractors, suppliers and internal stakeholders to keep projects progressing efficiently.
- Manage the company's shared inbox, responding to enquiries promptly and directing requests appropriately.
- Confidently manage incoming phone calls, customer enquiries and visitor reception as the first point of contact for the business.
- Coordinate meetings, general office administration and operational support for the wider team.
- Assist with contractor compliance, project documentation and safety administration.
- Support the leadership team with additional operational and administrative tasks during busy periods.

About You

To Be Successful In This Role, You'll Demonstrate

- Previous experience in an Administration, Project Coordination, Operations Coordination or Service Coordination role.
- Experience within construction, insurance building, restoration, facilities maintenance, property services or trade services is essential.




- A solid understanding of building terminology, repair workflows, quotations and defect-related documentation, enabling you to confidently coordinate jobs without requiring extensive technical training.
- Outstanding customer service skills with the confidence to build strong relationships with customers, contractors and stakeholders.
- Confidence managing a busy shared inbox and acting as the first point of contact for incoming phone enquiries.
- Excellent written communication skills with the ability to draft clear, professional correspondence and respond to customer enquiries.
- Strong organisational and time management skills, with the ability to coordinate multiple live projects simultaneously.
- Experience working to service level agreements (SLAs), client KPIs or deadline-driven environments.
- High attention to detail and the ability to maintain accurate records across multiple systems.
- Experience using CRM, scheduling or job management software to coordinate workflows and project information.
- A proactive, adaptable attitude with a willingness to roll up your sleeves and support the wider team wherever required.
