The Role

We are seeking a highly organised and detail-oriented Project Administrator to join our team. This role is integral to supporting our Project Managers and Contract Teams to ensure projects are delivered efficiently, accurately and on time.

Working closely with project personnel, clients, suppliers and subcontractors, you will play a key role in coordinating project administration, maintaining documentation, supporting compliance requirements and assisting with project reporting.

This is an excellent opportunity for someone who enjoys working in a fast-paced environment and takes pride in providing exceptional administrative support.

Key Responsibilities

Reporting to the Administration Manager and working closely with Project Managers, your responsibilities will include:

- Providing administrative support to the Project and Contract Teams
- Assisting with the coordination of labour, equipment and materials across multiple project sites
- Liaising with clients, suppliers,



subcontractors and external stakeholders
- Maintaining accurate project documentation, filing systems, records and archives
- Preparing and collating information for weekly project meetings
- Updating project planning and scheduling documentation
- Raising purchase orders and ensuring costs are allocated to the correct projects
- Maintaining supplier account information and records
- Coordinating accommodation and travel arrangements for project personnel and subcontractors
- Assisting with site inductions and the submission of WHS, licensing and compliance documentation
- Assisting with the preparation of monthly progress claims and supporting compliance documentation
- Providing ad-hoc support to the Service Coordination team when required

Requirements

- Exceptional attention to detail and a high level of accuracy
- Strong organisational and time management skills
- The ability to prioritise competing deadlines in a busy environment
- Excellent written and verbal communication skills
- The ability to work independently while contributing positively to a team environment
- A proactive approach and willingness to take ownership of tasks
