Service Administrator

Full‑Time | Operations & Technical Support | Customer‑Focused Admin Role

We’re looking for a proactive and organised Service Administrator to deliver exceptional customer service, keep workflows running smoothly, and ensure accurate, timely administration across the branch.

This role is ideal for someone who thrives in a fast‑paced environment, enjoys supporting technical teams, and takes pride in producing high‑quality administrative work.

What You’ll Be Doing

- Providing high‑level customer service to internal and external clients.
- Coordinating service administration processes to minimise WIP and ensure timely invoicing.
- Preparing, checking and processing service and parts invoices in Pentana/ERA.
- Assisting with warranty claims, purchase orders, recoverable labour and repair order processing.
- Responding to queries and resolving issues to maintain robust customer relationships.
- Supporting service employees with clear guidance and accurate administrative assistance.
- Managing clerical duties including filing, typing, photocopying, mail, petty cash and appointment scheduling.
- Handling front desk enquiries and phone calls in a professional, courteous manner.
- Maintaining office consumables, equipment and key registers.
- Contributing to OH&S; improvements and adhering to company policies, security procedures and HSE requirements.
- Maintaining accurate records in line with Quality Assurance standards.

What You'll Bring

- Minimum 2 years’ experience in clerical or administrative roles.




- Strong computer skills, including Outlook, Word and Excel.
- Experience in a customer service environment.
- Understanding of basic parts warehousing principles (advantageous).
- Explicit, positive communication skills with customers and colleagues.
- Ability to operate office equipment efficiently and accurately.
- Strong organisation, attention to detail and ability to work independently.
