About you

The Senior Finance Officer is a part-time, hands‑on role responsible for administering the day-to-day financial operations of the firm.

Working under the supervision of the Managing Director and in close coordination with the firm’s external accountants, you will ensure that payroll, invoicing, expenses, reconciliations, statutory contributions and financial records are administered accurately, efficiently and on time.

You will carry the administrative load associated with the financial operation of the business while maintaining appropriate financial controls, accurate records and clear reporting. You will also support management by providing timely information on work in progress, utilisation, cash flow, profitability and other key financial measures.

This role would suit an experienced finance professional who is comfortable working independently, managing recurring financial processes and coordinating with external accountants, employees, suppliers and clients.

The position is part-time, working approximately two to three days per week, and may be based in Sydney or Canberra.

About you

You will be organised, dependable and methodical, with strong attention to detail and a practical understanding of financial controls.

You will be comfortable taking ownership of recurring financial processes, following matters through to completion and identifying discrepancies, risks or outstanding actions before they become larger issues.

You will have demonstrated experience across financial administration, payroll, accounts receivable, accounts payable, reconciliations, expense management and management reporting.

You will also be confident working directly with senior management and external accountants,



handling confidential information and providing clear and timely updates on the financial position and operational requirements of the business.

A developed working history in financial controls, professional services finance or financial operations will be highly regarded.

Key responsibilities

The Senior Finance Officer will report to the Managing Director and will:

- Administer the day-to-day financial operations of the firm;
- Coordinate payroll administration, including payroll inputs, employee changes, leave information, deductions and payroll records;
- Liaise with the firm’s accountants to support accurate and timely payroll processing, superannuation contributions and payroll‑related compliance obligations;
- Coordinate end-of-month invoicing, including reviewing timesheets, work in progress, billing information, purchase orders, and client requirements;
- Prepare and issue client invoices and monitor outstanding accounts receivable;
- Track expenditure against client and internal purchase orders and identify potential overruns, discrepancies, or uncommitted expenditure;
- Administer accounts payable, supplier invoices, employee reimbursements, and expense claims;
- Maintain accurate records of business expenses, subscriptions, recurring costs, and financial commitments;
- Perform or coordinate bank, payroll, credit card, accounts receivable, and accounts payable reconciliations;
- Maintain accurate financial information within Xero and other invoicing, payroll, and employee management platforms;
- Support the firm’s accountants in preparing Business Activity Statements, Instalment Activity Statements and other required financial or taxation filings;
- Coordinate insurance administration, including policy renewals, information requests, premium payments, wages declarations and other insurer reporting requirements;
- Maintain accurate employee remuneration, payroll, superannuation and financial records;
- Monitor employee timesheet completion and follow up outstanding, incomplete or inaccurate timesheets;




- Prepare work‑in‑progress reporting and assist management to understand unbilled work, billing status and revenue recognition;
- Prepare regular financial and operational reports covering utilisation, revenue, cash flow, profitability, expenditure and other key business metrics;
- Support budgeting, cash‑flow forecasting and financial performance monitoring;
- Maintain appropriate financial controls, approval processes, delegations and supporting documentation;
- Coordinate with the firm’s accountants to ensure that internal financial, taxation, payroll and regulatory requirements are met; and
- Assist the Managing Director with other financial administration, reporting and control activities as required.

Qualifications and background

To be successful in this role, you will have:

- Relevant qualifications in accounting, finance, bookkeeping, business or a related discipline;
- Substantial experience in a finance officer, senior accounts, bookkeeping, payroll, financial administration or similar role;
- Demonstrated experience administering payroll, invoicing, accounts payable, accounts receivable, expenses and reconciliations;
- Experience using Xero for accounting, invoicing, reconciliation or payroll purposes;
- Experience using payroll, employee management, expense or time‑recording platforms;
- Strong Microsoft Excel skills and the ability to prepare clear financial reports;
- A high level of discretion when handling payroll, employee and commercially sensitive financial information; and
- Strong written and verbal communication skills.

Experience using Clio, iManage or similar legal practice management and document management systems would be desirable. Experience working within a consulting, legal, accounting or other professional services firm would also be highly regarded.

Security clearance

Given the nature of our work, applicants who hold, or are eligible and willing to obtain, an AGSVA‑issued Baseline security clearance will be highly regarded.

Working arrangements

This is a part‑time position of approximately two to three days per week.

The role may be based in either Sydney or Canberra. Some flexibility regarding working arrangements may be available, although regular availability and reliable attendance will be required to support payroll, invoicing and end‑of‑month financial deadlines.
