About the Role
We are seeking an experienced Shipping Coordinator to join our experienced Procurement team. This is a hands-on role responsible for coordinating international freight movements ensuring shipments are delivered efficiently, on time, and in compliance with all regulatory requirements.
Working closely with suppliers, freight forwarders and internal stakeholders, you will oversee the complete shipping process - from booking and documentation through to delivery, reporting, and continuous improvement.

Key Responsibilities
- Manage end-to-end import and export shipments.
- Coordinate international freight via air, sea, and road.
- Monitor shipment progress and provide proactive updates to internal stakeholders.
- Resolve shipment delays, damages, and delivery issues efficiently.
- Support carrier sourcing, rate negotiations, and freight service management.
- Provide support to the Procurement team during quieter periods, assisting with purchasing activities, supplier coordination, administrative tasks, and other operational requirements as needed.
- Prepare, review,
and maintain accurate shipping and customs documentation.
- Ensure compliance with customs regulations, tariffs, sanctions, and restricted party screening.
- Coordinate fumigation certification requirements.
- Assist with customs inspections, quarantine holds, and compliance matters.
- Maintain accurate shipment information within ERP and Transportation Management Systems (TMS).
- Verify shipment dimensions, weights, and carton information.
- Support accurate landed costing and minimise reweigh or rebill charges.
- Maintain complete shipping records and reporting.
- Monitor freight spend and audit carrier invoices.
- Analyse freight data to identify cost-saving opportunities and operational improvements.
- Develop contingency transport plans and assist with risk mitigation.
- Manage freight claims and dispute resolution.
- Build strong relationships with freight forwarders, carriers, suppliers, customs brokers, and internal teams.
About You
You take pride in delivering exceptional service, proactively identifying and resolving issues before they arise. You make informed decisions using data and analysis, remain calm under pressure and are committed to continuous improvement and operational excellence.
Ideally you will bring
- Minimum 5 years' experience in freight coordination, shipping, logistics or transportation.
- Strong knowledge international freight operations.
- Experience managing import and export documentation.
- Understanding of customs, biosecurity, and international trade compliance.
- Experience using ERP systems and Transportation Management Systems (TMS).
- Advanced Microsoft Excel skills will be highly regarded.
- Strong analytical, organisational, and problem-solving skills with attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to build strong relationships and manage multiple priorities in a fast-paced environment.
- A proactive approach with a strong sense of ownership and accountability.
