We are seeking an experienced Site Administrator to join our growing team. This is an excellent opportunity to become an integral part of a high-performing project team, providing essential administrative and project coordination support to ensure the successful delivery of major construction projects.
Reporting to the Project Manager, you will play a key role in supporting site operations by managing project documentation, workforce mobilisation, reporting, compliance and communication across the project.
About The Role As the Site Administrator, you will provide comprehensive administrative support to the project team while ensuring documentation, reporting and compliance requirements are maintained accurately and efficiently.
Your Responsibilities Will Include Providing day-to-day administrative support to the Project Manager, Site Manager and site leadership team
Managing project documentation, registers, drawings, permits and correspondence
Preparing reports, meeting minutes, site diaries and project records
Coordinating employee and subcontractor mobilisation, including inductions, licences, competencies and medical documentation
Coordinating flights, accommodation and roster administration
Assisting with timesheets and payroll-related administration
Supporting HR with onboarding and employee documentation
Coordinating subcontractor documentation and compliance requirements
Assisting with procurement administration, purchase orders and supplier documentation
Maintaining document control systems and filing structures
Supporting HSE compliance by maintaining training records, inductions, safety documentation and audit requirements
Liaising with project teams, clients,
subcontractors and corporate departments to support efficient project delivery About You You are an organised, proactive and adaptable administrator who enjoys working in a fast-paced construction setting. You have exceptional attention to detail, can manage competing priorities and build strong working relationships with people at all levels.
To Be Successful In This
Role, You Will Have 2-5 years' experience in a Site Administration, Project Administration or Construction Administration role
Experience working on construction, infrastructure, mining, energy or industrial projects
Strong document control and project administration experience
Excellent organisational and time management skills
High attention to detail and accuracy
Strong written and verbal communication skills The ability to work independently while contributing to a collaborative team environment Essential Skills & Experience Advanced Microsoft Office skills, including Word, Excel, Outlook and Teams
Experience using document management systems such as Aconex, Procore, SharePoint, TeamBinder or similar
Experience coordinating workforce mobilisation and onboarding
Knowledge of project reporting, compliance documentation and record management
Construction industry experience
Current White Card (essential)
