Membership, Volunteer and Young Person Coordinator
Part-time, three days a week or 22.8 hours with flexibility
The Membership, Volunteer and Young Person Coordinator provides high-quality coordination and administrative support to strengthen member, volunteer and young person engagement across St Vincent de Paul Society Northern Territory. The role supports consistent, safe and welcoming pathways for people to participate in the Society's mission, while improving systems, resources and processes that enable effective membership and volunteer involvement.
Working under general guidance and within agreed organisational policies, procedures and priorities, the role coordinates day-to-day membership and volunteer administration, responds to enquiries, maintains accurate records, supports onboarding and induction, and contributes to projects that improve the experience of members, volunteers and young people.
A key focus of the role is to progress agreed actions arising from the Membership Committee, support youth engagement initiatives, and help ensure that members and volunteers are appropriately welcomed, informed, supported and compliant with relevant safeguarding, work health and safety, and organisational requirements.

Key responsibilities
- Coordinate professional, timely and accurate administrative support for membership, volunteer and youth engagement activities.
- Support effective administration operations by monitoring tasks, deliverables and follow-up actions to ensure agreed outcomes are achieved.
- Maintain relevant databases and records, including accurate data entry, regular data quality checks and compliance with privacy, reporting and recordkeeping requirements.
- Develop, update and implement resources that support member and volunteer engagement, including recruitment materials, onboarding processes, induction resources and handbooks.
- Respond to member and volunteer enquiries in a prompt, respectful and solution-focused manner, escalating matters where appropriate.
Youth programs and engagement
- Liaise with internal and external stakeholders to identify community needs and opportunities where Society resources can support children, young people and young adults.
- Assist with the development, coordination and implementation of youth programs and activities that promote safe participation, community connection, resilience and inclusion.
- Support monitoring, evaluation and reporting on youth program activities and outcomes in line with the Society's reporting requirements.
- Promote clear membership and volunteer pathways for young adults and program volunteers who wish to deepen their engagement with the Society.
- Ensure mandatory training, safeguarding, child safety, risk management and work health and safety requirements are communicated, completed and monitored for relevant participants.
- Ensure young adult members and volunteers are welcomed, appropriately inducted, and provided with information about the Society's history, ethos, mission, policies and membership requirements.
Volunteer support and supervision
- Identify, encourage and support potential volunteer leaders, including assisting them to understand relevant Society policies, procedures and compliance obligations.
- Implement relevant SVdP NT youth, membership and volunteer procedures and undertake regular checks to support safe, consistent and high-quality service delivery.
- Coordinate or support appropriate learning, development and engagement opportunities for members and volunteers.
- Provide administrative and practical support to the SVdP NT Council Youth Representative as required.
- Review, document and improve administrative processes to support consistent, efficient and timely service delivery across membership, volunteer and youth engagement functions.
- Prepare and distribute regular and ad hoc reports, briefing material and correspondence as required.
- Provide general administrative support,
including filing, scanning, photocopying, ordering supplies, maintaining records, and coordinating travel or accommodation arrangements where required.
- Support meetings and organisational activities through room bookings, calendar coordination, agenda preparation, minute taking and follow-up of action items.
- Contribute to project work, process improvements and organisational initiatives as directed.
- Coordinate or assist with onboarding requirements for new members and volunteers, including checks, documentation, induction and training records.
- Promote a culture of safety, inclusion, operational excellence and continuous improvement across all areas of responsibility.
- Undertake other duties consistent with the role's purpose, classification and skills as assigned from time to time by the Manager.
- Comply with work health and safety duties and responsibilities in accordance with the Society's WHS requirements, relevant directives and the Work Health and Safety Act 2011.
- Comply with the St Vincent de Paul Society Northern Territory Code of Conduct, policies, procedures and behavioural expectations in all duties .
Qualifications, skills and experience
- Certificate III in Business Administration or equivalent relevant education, training or professional experience.
- Demonstrated experience in a busy administrative, coordination or support role, preferably in a community services, volunteer-based or not-for-profit environment.
- Experience developing, maintaining or improving administrative resources, records, forms, procedures or workflows.
- Strong proficiency in Microsoft Office, including Word, Outlook and Excel, with the ability to learn and use organisational databases and systems.
- Qualified communication skills, including a respectful phone manner, clear written communication and the ability to represent the Society's values.
- Ability to build constructive relationships with diverse stakeholders, including members, volunteers, staff, community partners and young people.
- High attention to detail, sound organisational skills and a strong commitment to data accuracy, confidentiality and follow-through.
- Understanding of, and commitment to, the mission, values and ethos of St Vincent de Paul Society Northern Territory, with the ability to work in accordance with Society policies and procedures.
